Summary

Document Delivery provides access to locally available library materials and items borrowed from other institutions. The department is a high-volume production environment, Document made up of four services: 1) Local Document Delivery delivers U-M Library materials to U-M Ann Arbor patrons, 2) Interlibrary Loan (ILL) Borrowing obtains materials not owned by U-M Library for U-M Ann Arbor, Flint and Dearborn patrons; 3) Interlibrary Loan Lending provides U-M Library materials to other institutions; 4) Delivery Service for both ILL and Local books to Ann Arbor campus department offices.

The Melcat Processing Coordinator is an important member of the Library’s commitment to providing access to member libraries throughout the state of Michigan to the University’s resources. You will help process requested library materials to loan to other member libraries in the state. Reporting to the Operations Manager, you will provide prompt service that advances the mission of the University Library and the University of Michigan. The hours for this position will be Monday-Friday.

You will report to the Manager of Document Delivery Operations, which is part of Document Delivery, a department within the Collections division.

You may oversee student staff.

Responsibilities*

40% Administer MelCat Lending Processing

Reporting to the Document Delivery Operations Manager, you will conduct all daily processing of all incoming MeLCat lending requests.

Print, process, and record statistics for all new incoming daily requests. Retrieve books from Grad, Undergrad, and Science Libraries, or coordinate with student staff for their retrieval. Maintain knowledge of policies at these locations, such as how to place shelf checks, finding items in the stacks office, lost book policies, understanding of non-circulating collections where exceptions may be requested, and communicates these policies to supervisors and student assistants. Keep track of ever-shifting collections and changing circulation policies at retrieval locations. Process all requests in using proper standards and timeframes. Prepare items for shipment. Coordinate shipping issues with shipping vendors.

As requested by the supervisor, performs several tasks throughout the office to keep the office running smoothly to compensate for absences and changes in workflow.

25% Scanning

Provide daily scanning processing for materials in Interlibrary Loan Lending and Document Delivery. Evaluate copyright for the department according to department guidelines. Communicate these guidelines to student retrievers and full time staff.

25% Lending

Help process 100,00 annual requests in a team working environment by addressing high volume of complex requests with emphasis on rapid turnaround time. Perform bibliographic searches and verifications of citations in Alma and other electronic and print sources. Search online catalogs to obtain call numbers, locations, and check availability of items requested. Resolve complex or incomplete citations.

Responsible for all courier replies for Lending processing, which involves keeping track of items not found and managing communication for these items, including generating searches for materials.

5% Customer Service and Delivery

Provide service to patrons by email or by phone. Field and refer incoming phone calls and messages. Assist patrons in filling out forms and requesting materials on departmental web pages. Resolve issues with lost books in delivery/mis shipped items. Deliver items to departmental offices throughout the Ann Arbor campus, either walking or using the department’s delivery vehicle.

5% Other Responsibilities as Assigned

  • Some higher education
  • Experience using online discovery systems, databases, and web resources in a networked environment, preferably with an integrated library system/library management system or an electronic resources management system.
