POSITION SUMMARY
The Centralized Scheduling Manager is responsible for planning, developing, organizing, and managing the Centralized Scheduling Department and is responsible for the performance and effectiveness of this department.



ACCOUNTABILITIES

3. Provide oversight of all operations within the leader’s span of control.
4. Establish work plans to execute priorities as communicated by senior leaders in the department.
5. Monitor financial performance as appropriate and provide insight for variances.

6. Ensure compliance with all regulatory and contractual requirements related to the leader’s span of control.
7. Develop and maintain a strong team through -selecting, mentoring and training capable leaders and staff.
8. Monitor vendor performance, manage issues within scope, and provide feedback to Director.
9. Assist in identifying opportunities for improvement based on subject matter expertise, team feedback, and observations/assessments.
10. Strive for continuous improvement by focusing on employee engagement, customer relations, quality standards and accountability, and performance standards and accountability.
11. Collaborate with other rev cycle leaders to execute on division-wide initiatives.
12. Provide input to and ensure consistent application of policies and procedures related to the leader’s span of control.
13. Collect, report and review data related to KPIs and functional goals. Provide insight for variances to KPIs and functional goals. Assist in execution of action plans.
14. Maintains and develops communication channels with staff through department meetings, email, and one-on-one mentoring either in-person or virtual.
15. Provide feedback to the Director on issues impeding timeliness or quality of process and offer recommendations for improvement.
16. Support the work environment by empowering staff to solve problems and address issues.
17. Manages staff, directs work, appraises staff performance with rewards and disciplines, addresses complaints and resolves issues that may arise, and acts as a mentor for department staff.
18. Anticipates customer needs and supervises the provision of services to all customers, including patients, physicians, hospital departments and staff.
19. Coordinates requests for services, information, records, and data in a timely manner; proactively solves problems and provides timely resolution to ensure minimal impact to customer and employee satisfaction.
20. Supervises the daily activities of the Centralized Schedulers to meet and/or exceed productivity goals including, but not limited to: 6-8 calls per hour per team member, 90% of incoming calls answered within 30 seconds, call abandonment rates kept below 5%.


REQUIRED QUALIFICATIONS
Education: Associate’s degree in business or healthcare related field or equivalent combination of education and experience
Certification: N/A
Years of Experience:
  • At least 3 years applicable experience within a leadership role.

  • Excellent written and verbal communication and interpersonal skills.
  • Time management and organizational skills.
  • Ability to make quality, independent decisions.
  • Ability to work effectively and efficiently under tight deadlines, high volumes, and adapt to a changing environment.
  • Ability to maintain the strictest levels of confidentiality.

Salary Range: $38,480-$104,000
