We are looking for an enthusiastic individual to act as our Maintenance Administrator. This role requires a passion for aviation with initiative and competence to make a significant contribution to the organization. This position will report to the office in Stuart, Florida.

Responsibilities & Requirements

  • Compliance and auditing of aircraft records, work orders, and vendors
  • Create purchase and work orders
  • Knowledge of FAA regulations
  • Perform departmental accounting related duties
  • Process invoices
  • Copy, scan, file and maintain invoices and work orders
  • Review each work order and ensure parts and OSR’s are included
  • Assist with data collection for quarterly CASS meeting
  • Keep tracking of calibrated tooling and arranges for recalibration
  • Run Labor Hours report
  • Research and set-up vendors for outside services, as needed
  • Work package generation and completion
  • Aircraft record entry generation and management
  • Contact Vendors for Purchase Order generation, receiving, closing with invoicing
  • Driving daily maintenance meeting, minutes generation, updating and distribution
  • Coding of invoices from Premier Aviation Services to accounting
  • Aircraft tracking system management
  • Coordinate and collaborate with department stakeholders, maintenance, parts, and planning
  • Vendor audit program management
  • Collaboration on maintenance forecasting with Director of Maintenance
  • Review and submit timesheets for approval and remit to accounting
  • Maintain and track maintenance personnel training records
  • All other duties are reasonably requested by the Director of Maintenance
  • Monthly reporting
  • Forecast Due list in JetInsight
  • Engine hours remaining report
  • Engine program updates

Requirements:

Qualifications

  • Strong communication with speaking and writing capabilities.
  • Must be computer savvy, with proficiency in Microsoft Office Suite, Corridor Aviation Maintenance Software, & CAMP Maintenance Tracking.
  • Ability to multi-task with superb accuracy
  • Strong administrative skills required.
  • Solid prioritizing and organizational skills required.
  • Exceptional customer service skills, over the phone and in person, with our customers and internal departments
  • Strong sense of urgency and problem-solving skills
  • Excellent written and verbal communication skills are a must.
  • Bachelor’s Degree preferred
  • Some nights and weekends may be required
  • Minimum of 2 years of experience in an Aircraft Maintenance Administrator role
  • Aviation industry experience a must.
