Job Title: Library Technical Assistant, Reserves


Reports to: Circulation Services Supervisor


Job Summary:


Reporting to the Circulation Services Supervisor, the Reserves Library Technical Assistant manages and conducts all processes and services for course reserves and the media collection. In that role, they also provide excellent customer service and comprehensive, timely course reserve services for students and faculty on the Queens Campus, as well as the University's international presence on other campuses as needed. The Reserve Library Technical Assistant also provides all aspects of circulation services to patrons regularly in person and in a virtual environment.


Essential Functions:


  • Manage workflow for all reserve items (both electronic and print) from start to finish.
  • Act as a liaison to faculty regarding reserves and media. Explain reserve processes to faculty and help determine how best to meet their and their students.
  • Promote additional library resources and services for individual classes including instructional services and workshops, OER, etc. Refer and connect them to librarians.
  • Guide faculty, staff, and students on how to request new digital and print resources for the library.
  • Disseminate copyright and fair use guidelines and policies, as well as circulation/reserve policies as they apply to library patrons.
  • Log all contacts (reserve forms, emails, phone calls) and track them to ensure that all requests are completed in a timely manner. Contact faculty if there are any questions with their request. Provide status updates on reserve requests.
  • Establish print course reserve pages in the integrated library system (ILS). Prepare professor's personal books for reserve and create bibliographic record in the ILS.
  • Establish professor's account in Lib Guides, create or update course guide and e Reserve page.
  • Follow established policies and procedures for retrieving, preparing, and adding physical/electronic materials to course pages.
  • Troubleshoot reserve and media issues (by phone, email, chat or in person).
  • Train new employees, student workers, and additional library personnel on the customer service aspects of reserves (as needed).
  • Train select circulation personnel in all aspects of print and eReserves to assist with processing items during rush and/or vacation periods.
  • Work in conjunction with Staten Island staff to coordinate services and provide backup for each other.
  • Maintain small physical Audio/Visual media collection. Provide all services needed for our patrons using media materials.
  • Review, revise and update forms, manual, and other reserve and media maintenance and communication documentation as needed.
  • Produce departmental reporting - daily, monthly, and ad hoc reporting. Collaborate with Circulation Services Supervisor and Dean's office ways to continue to improve and enhance our services for our patrons.
  • Provide all aspects of circulation services to patrons on a regular basis in person, virtually, by phone and by email.
  • Assist with projects and other duties as assigned.

Competencies:


  • Demonstrated proficiency in Microsoft Office Suite, including OneDrive, Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience using an ILS (Integrated Library System) and software relating to reserves and/or circulation.
  • Basic knowledge of office equipment including but not limited to photocopiers, scanners, computers and other office equipment.
  • Exceptional attention to detail and organization.
  • Strong computer skills and the ability to easily learn new software.
  • Excellent written and oral communication skills using various communication methods including email, phone, virtual and in-person.
  • Ability to work independently and as a team member with various departments.
  • Strong time management skills.
  • Ability to adapt and have flexibility in a changing work environment.
  • Working knowledge of reserves and eReserves policies and procedures.
  • Working knowledge of circulation policies and procedures.

Supervisory Responsibility:


Supervise student workers on a regular basis in the absence of their immediate supervisor. Assign duties and tasks to assist the circulation department and the library as a whole.


Work Environment:


This position operates in a professional office environment; This position is required to use standard office equipment such as personal computers, printers, scanners.


Physical Demands:


Must be able to retrieve books from library stacks and move a book truck holding items. Must be able to frequently move and lift materials for processing.


While performing the duties of this job, the employee is occasionally required to stand; move about; sit; to carry work and use controls; reach with hands and arms; climb stairs; use the elevators, communicate. The employee must occasionally lift or move up to 50 lbs. Specific vision abilities required by the employee include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus, etc.


Environmental Conditions:


Potential exposure to dust.


Position Type/Expected Hours of Work:


This is a full-time 35 hour/week position. The standard work week is Monday-Thursday 10:00 am to 6:00 pm and Friday 11:30 am to 8:00 pm. Due to the material-centered nature of reserve work, the job is fully on-campus with no remote work options.


Required Education and Experience:


  • 1-3 years' experience in a circulation department in an academic or public library.
  • Experience processing reserves.
  • Experience using the circulation and/or reserves module in an Integrated Library System (ILS)
  • Associates degree.

Preferred Education and Experience:


  • 3-5 years in a circulation department in an academic or public library.
  • Associates degree or higher

In compliance with NYC’s Pay Transparency Act, the annual salary for this position is $40,000. This position may be relocated to any of St. John’s University’s physical locations at any time.
