JOB DESCRIPTION
Position Summary


Responsible for the strategic management of software and hardware within the organization. This position provides support for all asset purchases from all areas of the IT department. This position is primarily focused on the selection, implementation, maintenance and support of hardware and software used by the company.


Essential Duties & Responsibilities


  • Accountable for the overall purchase and accounting of the company infrastructure assets including network devices, servers and all support software and cloud services.
  • Provide oversight, advise and counseling to IT department staff with relation to equipment use, implementation, training, support, and long-term maintenance.
  • Provide support for purchase, implementation and maintenance of a reliable infrastructure including hardware and software.
  • Negotiate contracts for hardware/software support agreements purchased by the company.
  • Manages software licenses, vendor contracts, and hardware assets for entire organization
  • Track and renew hardware and software maintenance agreements
  • Negotiate contract Terms and Conditions, including costs
  • Identifies savings opportunities for renewals, software licensing, and servicesWorks with the IT support team in the development of enterprise-wide IT purchasing standards and procedures.
  • Creates and manages enterprise wide asset management systems. Maintains and manages software license information and updates for compliance
  • Coordinates software updates and installs with the business and IT Services
  • Ensures corporate and legal guidelines are followed for managing IT hardware and software assets.
  • Provides support to the Finance department by providing asset information and managing the physical inventory control.
  • Defines requirements for asset acquisition and procedures to include management and disposal strategies for the enterprise.
  • Responsible for business software budget preparation coordinates with Finance
  • Run and monitor the IT Services budget
  • Research and procure orders with Procurement dept. Ensure receipt of purchase orders, invoice processing and reconciles changes in inventory.
  • Manages vendors in Oracle by ensuring proper documents are submitted and updated as needed
  • Performs internal audits and True-Ups as required by the vendor
  • Work closely with the business on software needs, including setting up vendor meetings and demos/evals
  • Supports the planning, budgeting and forecasting exercises for all of IT spend
  • Provides usage trend reporting, forecasting, and analytics
  • Work with legal to review contracts and redlines.
  • Monitors software trends to determine contract(s) required
  • Train team members for new software portals and ITAM tools

5+ years of related experience. Experience in a similar role at an AEC firm would be preferred.


Education


Bachelor’s Degree in Business Administration, Information Technology, Finance, Accounting, or other related field.


Minimum Qualifications, Skills and Abilities

Technology platform experience with Ivanti or other enterprise scale IT asset management tools, Oracle financials or similar tool, Microsoft PowerBI/Power Automate and Microsoft O365 suite of tools.

Strong business process/automation and reporting/analytics skills.

Experience in organizational change management practices and ability to draft well-written communications.

Compensation

Compensation for this position will be $100,942-$166,543. and will be based on candidate experience.
