JOB SUMMARY

Perform specified administrative tasks in support of the Human Resources function.

ESSENTIAL DUTIES

  • Administer and review employee and participant changes of status and related paperwork for accuracy; perform input of employee data (including new hires, changes to current employee records, and terminations) into the automated human resources information system.

  • Ensure input of all organizational employee training and other pertinent information into the automated human resources information system.

  • Under the direction of the Vice President of Human Resources, assist in answering questions and assisting managers with the development of custom reports, as needed.

  • Assist supervisors and managers with automated human resources records system questions/information.

  • Complete agency and government-required reports as required including but not limited to; EEO-1 reporting, EAP reporting, internal audits, and external audits as needed.

  • Assist the Vice President of Human Resources, as requested, in the administration of company benefit programs, audits, and employment procedures.

  • Maintain accurate records for all employee benefit programs including; medical, dental, vision, and life insurances. Ensure all employee and their dependents who are eligible are enrolled in medical, dental, and vision insurances within the first 30 days of being hired. If employees are declining insurance obtain the proper documentation noting they are declining coverage. Enroll all eligible employees in life insurance regardless of enrollment in other benefit plans. Add the proper deductions to the HRIS system for payment of the employee portion of the benefits.

  • Maintain accurate records for all terminated employees in benefit programs including; medical, dental, vision, and life insurances to ensure we are in compliance with COBRA requirements. Maintain accurate records to ensure all billing corresponds and reflects terminations and resignations.

  • Perform verifications of employment as needed.

  • Complete EDD benefit audits and DI claims and assist with Leave of Absences (LOA).

  • Complete unemployment insurance (UI) claims (paper and electronic) and verify Wages Used, Additional Information, and other documents received from EDD are accurate and completed. Contacts EDD to ensure accuracy as needed.

  • Manages the talent management system by working with hiring managers to determine staffing needs and determine best practice for all phases of recruitment.

Secondary Duties

  • Perform Receptionist duties as needed.

  • Perform related duties and special projects as required.

Qualifications

Education: High school diploma. Bachelors Degree preferred.

License/Certification Required: Valid California Drivers License.

Experience Required:

  • Two years experience in the retail environment.
  • Creative mind and a people person.
  • Superior communication, presentation skills and interpersonal skills required.
  • Effective time management skills, must be flexible and demonstrate the ability to change course quickly as needed.
  • Ability to effectively manage multiple priorities and use good judgment regarding confidentiality.
  • Ability to complete full training cycle (assess needs, plan, develop, coordinate, facilitate, monitor and evaluate).
  • Ability to interact with employees at all levels in a team environment is a must.
  • Proficient with MS Office Suite.

Knowledge Required:

  • Familiarity with Goodwill Central Coast's mission and general company policies/procedures (this may be learned on-the-job).
  • Basic math ability.
  • Familiarity with office procedures.
  • Familiarity with computer operation, typical computer programs, and human resources-related automated records systems.

Equipment Used: Typical office equipment.

  • Ability to communicate effectively in English, both orally and in writing. Ability to communicate in basic Spanish preferred.

  • Ability to drive a vehicle in the transaction of company business. This requires a good driving record and may require the ability to provide evidence of personal vehicle liability insurance.
  • Ability to accept responsibility for the direction and/or completion of an activity.
  • Ability to adapt to situations and understand other's feelings and personal viewpoints.
  • Ability to move hands/fingers easily and skillfully to operate keyboard and computer.
  • Ability to demonstrate satisfactory attendance, as outlined in Goodwill Central Coast attendance policy.
  • Ability to adhere to safe work practices as documented in Company safety policies; ability to report safety hazards/accidents promptly to supervisor or safety committee member.

The job has many deadlines, in an extremely fast paced environment. The work environment is semi-routine and has extreme periods of high activity.


Job Setting

  • The job is performed in an enclosed climatically-controlled office. Work is completed independently and in cooperation with the Human Resources staff, other company personnel, and the public. This job requires travel between Santa Cruz County, Monterey County, and San Luis Obispo County.
  • Physical Demands
  • The job is primarily sedentary with walking and standing as is necessary to carry out the job duties. Normal lifting and/or carrying is limited to approximately 15 lbs., with occasional lifting of up to 25 lbs. Heavier items (26 lbs. or more) are moved by using proper material handling equipment, assistance from another person or by work order request.
  • Normal or corrected talking, hearing and seeing abilities are sufficient to perform the required tasks.
