This role provides flexibility to work a few days on site in Vernon Hills, IL and a few days remotely on a weekly basis, on a part-time basis ( approximately 20 hours a week).

Overview:

Responsible for performing a variety of administrative activities and project coordination in support of the Vernon Hills site and HR team. Serves as administrative liaison with others within and outside the company regarding administrative issues.

Responsibilities:

  • Serves as lead onboarding - I-9 Agent, responsible for securing I-9, E-Verify data, and supporting documents to maintain the confidentiality of associate’s personal information and record retention.

  • Maintains and updates the VH Maxwell site.

  • Communications designee for the site to ensure appropriate, consistent, and relevant messaging is sent to all associates from a variety of sources (i.e., Corporate, Management, Facilities, Security, IT, R&D, and HR) and utilizing a variety of mediums including E-mail, video monitors, posters, etc.

  • Assists with monthly headcount and turnover reporting and other metric reporting (ie-diversity metrics, etc).

  • Act as a site representative, submitting facilities requests and as a contact for various site situations as appropriate. Assist with site PO’s as necessary.

  • Publishes news electronically by proofreading documents and ensuring publication on the intranet, via e-mail, and electronic office boards and provides site communications as needed; these include monthly communication meetings, new hire notifications, special projects/announcements, site visits, etc.

  • Social Investing Coordinator supporting local and corporate volunteer/fundraising efforts. Participates on quarterly calls with the Corporate Social Investing Team to promote associate participation in the programs. Assists with new grants-rollout program that will allow sites to process locally for matching funds for local fundraising events. Helps lead/coordinate local activities.

  • Serves as the Wellness Ambassador partnering with the corporate benefits team to help develop and implement monthly and annual worksite wellness activities and support our organization’s goal of helping all associates live healthy lives and improve health and well-being. Point person to plan and execute annual events such as the Wellness Expo, Flu Shot Clinic, and Benefit Vendor Fair and monthly communications highlighting benefit vendor information. Informs associates about the variety of benefits and incentive programs that BD offers, will be required to utilize digital displays, bulletin boards, information racks, and email blasts, presenting at local Town Hall meetings, and where appropriate, joining local Associate Resource Group (ARG) meetings.

  • Plans associate events and company meetings (i.e., service award recognition, summer festival, and other employee communication forums and engagement events).

  • Support set-up and maintenance of Surgery-wide re-occurring meetings (Portfolio Decision Team, Innovation Council, New Product Development, Annual Strategic Review, etc.)

  • Other duties and projects as assigned.

Qualifications:

  • High school diploma/GED required. Advanced degree in related field preferred.

  • Minimum 3 years of administrative assistance or site coordinator experience preferred.

Skills:

  • Demonstrates depth and breadth of administrative knowledge and skills.

  • Works independently on special assignments.

  • Interacts with internal and external sources at senior levels.

  • Prioritizes issues for executive review using knowledge of the company and business.

  • Maintains smooth operations of the office when management is not available.

  • Uses a range of technology to complete work in the most expedient way.

  • Reviews reports and other data and compiles in an executive review format.

  • Complies with confidentiality policies and procedures.

  • PO experience preferred.

  • Handles confidential executive business matters.

  • Provides design input and implements procedures that allow access to executive confidential information.

  • Provides information to others through various communication channels regarding business matters, processes, and/or procedures.

  • Applies knowledge/skills to complex problems, and coordinates work beyond own area of expertise.

  • Acts as a technical specialist within own area.

  • Must be proficient in MS Office Programs and Outlook
