The Financial Assistant provides administrative support to the Accounting Manager and the Finance Team. The role performs a variety of accounting functions in the areas of accounts payable, accounts receivable, credit card processing and general ledger accounting. Assists with various aspects of financial and regulatory processing and reporting. Serves as an initial contact and resource for vendors.

Responsibilities

  • Process invoices and verify financial data for use in maintaining Accounts Payable records
  • Provide support necessary to manage all payable functions for multiple companies within the organization
  • Point of contact for any questionable invoice items, prices or receiving approval signatures
  • Obtain proper information and/or data regarding invoice payments
  • Verify and reconcile all totals on invoices, taking discounts when applicable
  • Ensure invoice accuracy; invoice date, invoice number, net terms, payment method, etc.
  • Assist in preparing weekly check runs and cash requirement reports for cash flow planning
  • Improve the payment process
  • Create and manage vendor profiles
  • Organize and compile invoices and/or supporting documentation for check signing and document retention
  • Maintain copies of payment vouchers, invoices or correspondence necessary for files
  • Manage employees Credit Card purchases by verifying expense transactions and receipts
  • Review and reconcile Credit Card accounts
  • Assist Accounting Department during external annual audits
  • Prepare data to process invoices
  • Verify financial data used in maintaining Accounts Receivable records
  • Provide support necessary to manage all receivable functions for multiple companies within the organization
  • Transmit weekly invoices through customer portals
  • Research and prepare notes for Accounts Receivable Aging Report
  • Maintain internal spreadsheets for tracking AR invoices
  • Performs a variety of business-related administrative tasks including, but not limited to, incoming and outgoing mail processing for Accounting Team; filing, archiving, and records maintenance for business documentation
  • Communicate professionally, clearly, and effectively with the Accounting Manager, Controller and CIO
  • Other duties as assigned

Required Education, Experience, and Skills

  • High school diploma or equivalency
  • One or more years of experience and comprehension of accounts receivable, accounts payable, and financial accounting
  • Strong organizational and personal productivity skills
  • Experience with accounting software in a Windows environment
  • Excellent organizational skills
  • Proven ability to professionally and tactfully communicate with others
  • Strong attention to detail
  • Problem solving skills
  • Strong analytical ability
  • Customer-centered focus and willingness to deliver service proactively
  • Ability to effectively work with others

Preferred Education, Experience, and Skills

  • Bachelor’s degree
  • 2 years of accounting experience
  • Advanced Excel experience

Physical Requirements:

  • Position works in an office environment in Raleigh, North Carolina and frequently sitting at a desk working on a computer
  • Frequently read and comprehend large quantities of information
  • Finger dexterity to operate computer equipment
  • Frequently speak and hear
  • Occasionally lift, move, and carry up to 15ibs independently
