Hines Building Maintenance (HBM) is looking for an experienced Facilities Maintenance Coordinator with great communication skills and good working knowledge of facilities operations to service an independent private school we serve.

Job Summary:

Under the direction of the Director of Facilities, the Facilities Coordinator oversees work management systems (CMMS, EMS, Etc.), the day-to-day administrative activities for the department, as well as the physical space for the building/company. The Facilities Coordinators will also resolve building problems and serve as a liaison between company employees and outside contractors.

Essential Duties and Responsibilities:

  • Responsible for assisting in the implementation and successfully maintaining the client’s Computerized Maintenance Management System (CMMS), and Building Management System (BMS)/ Energy Management System (EMS)
  • Represents the school in day-to-day contacts with contractors, architects, and engineers in connection with facility renovations and construction.
  • Responsible for the department’s procurement and allocation of supplies, equipment, and vendors.
  • Coordinates with the department Leads to schedule and assign duties based on work orders received.
  • Work collaboratively with building administrators and staff to ensure a clean and safe environment for all students and staff.
  • Assists in regular building inspections for safety, repair quality cleaning standards, and procedure compliance, coordinates inspections by insurance companies, fire and police departments, and health departments.
  • Manages the events schedule for several departments.
  • Coordinates and oversees indoor room set-up and outdoor set-up and teardowns for events.
  • Hands-on support of maintenance staff duties and everyday maintenance activities

Qualifications (knowledge, skills, abilities):

  • 5+ years of experience in Facilities Management or related field.
  • Demonstrates a high level of communication.
  • Ability to multi-task and work on competing projects
  • 2+ years of experience work with maintenance management systems
  • Working knowledge of principles and practices related to the management of maintenance, custodial, warehouse, and landscape activities.
  • Hands-on experience with HVAC units, electrical, grounds care, buildings, custodial care, carpentry, playground equipment and safety.
  • Has a working knowledge of all applicable CAL-OSHA, ASHRAE, and EPA regulations that apply to the Facilities and Maintenance Department of schools
  • Familiar with Google Workspace programs
  • Ability to manage different event calendars for various departments.

Preferred education and experience

  • Experience implementing and successfully maintaining a Computerized Maintenance Management System (CMMS), and Building Management System (BMS)/ Energy Management System (EMS) Positive interpersonal skills to work professionally with staff and demonstrated experience establishing effective and collaborative relationships with community members and other agencies.
  • Technical competencies in a variety of areas including use of technology, mathematics skills, writing and editing, organization, and statistical record keeping.
  • Bi-lingual in English and Spanish

Physical Requirements:

Prolong periods sitting at a desk and working on a computer.

Ability to lift, pull, push 50 pounds occasionally.

Valid Driver License

Clearance of federal background check

Immunization Requirements due to working in a school environment.

Pay: $70,000.00 - $75,000.00 per year
