DEPARTMENT OVERVIEW

The Division of Social Science, one of five academic divisions on the UCSC Campus, conducts faculty research on multiple diverse locations and environments, including wet and dry labs, field sites, teaching laboratories and a 30 acres organic farm. This research has a physical research footprint that reaches across the entire campus and extends to the Westside Research Park and Coastal Campus, and increasingly involves cross-divisional research collaborations across all five academic divisions. The division's eight departments (Anthropology, Economics, Education, Environmental Studies, Latin American and Latino Studies, Politics, Psychology, and Sociology) and three programs (Community Studies, Global and Community Health, and Legal Studies) offer more than 40 undergraduate and graduate degree programs, many of which are interdisciplinary. The division awards 40% of the total number of bachelor degrees and 30% of the graduate degrees at UCSC, with one of the most diverse student demographics on campus and consistent leadership in student success. The division is also responsible for many curricular support programs such as internship and field studies programs, distinguished major research centers (Blum Center, Center for Agroecology, Research Center for the Americas, Center for Analytical Finance and the Institute for Social Transformation) and numerous other research initiatives. Included under the auspices of the Division of Social Sciences are also College Nine, John R. Lewis College. The division's current annual state budget is approximately $30 million, with an additional $20 million in extramural research funding.

JOB SUMMARY

Under the direction of the Director of Research Facilities Operation and Maintenance, the Facilities Manager will be responsible for managing a wide range of building and site issues, problems and activities, including safety, access, maintenance, remodeling and construction activities, move planning, emergency and regulatory tasks. The Facilities Manager will serve as liaison for occupants as well as campus and external agencies and contractors. Assigned tasks will include collaboration on space planning and site development along with general maintenance, specialized facility systems maintenance and operations, call center triage and tracking of repair services, development of procedures, policies and communications related to infrastructure and safety.

APPOINTMENT INFORMATION

Budgeted Salary: $73,850 - $85,900 / Annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary above the posted range. The salary shown above is the budgeted range the University reasonably expects to pay.

JOB DUTIES

85% - Facilities Management
  • Serves as liaison with organization and external and internal agencies/contractors regarding safety, access, maintenance, remodeling and construction activities.
  • Coordinates with multiple units (e.g., Risk and Safety Services, Transportation, Physical Planning, etc.) throughout UCSC to provide a safe and secure facilities environment.
  • Manages service requests received from occupants. Visit site for problems, ensure site is safe either by resolving unsafe conditions or posting signage and barricades. Conducts field verification of problems and resolves them if possible. Coordinates maintenance and repairs through PPDO work order desk and/or PPDO work crews as appropriate. Interfaces with Physical Plant work crews to get repair and maintenance status.
  • Supports minor maintenance tasks, facilitate equipment deliveries and moves including moving heavy equipment such as refrigerators, freezers, specialized equipment. Maintain functionality and appearance of furniture as needed.
  • Works with PPDO and IT Services to resolve routine maintenance impacting the facilities.
  • Assists in the development of space allocation plans for management review.
  • Maintains building related plans and procedures including access controls and security, emergency preparedness, commonly-encountered hazardous materials storage and disposal, crime prevention activities, fire safety inspection compliance and reporting.
  • First point of contact on the emergency call-out list. Coordinates/assists emergency repairs and construction activities during and after work hours ensuring minimal disruption to building occupants.
  • Assists in reviewing from the facilities point of view documents for construction, including plans and specifications from outside consultants.
  • Develops and maintains the Social Science facilities shop inventory. Purchases supplies and equipment as needed.
  • Independently plans, organizes and directs for all faculty and administrative office and laboratory moves and renovations; analyzes the scope of renovations or moves, determines appropriate vendors and schedules and plans the actual moves; prepares budgets; authorizes telephone installations and billings, estimates and repairs. Independently provides advice to department chairs, department managers, faculty and staff on the most cost effective and efficient moves; manages office furniture purchasing.
  • Analyzes furniture needs and advises on the purchase of division furniture to meet user needs, ergonomic evaluation and ADA requirements.
  • Manages the division's storage and equipment inventory.
  • Serves as primary "Access Key Controller" as defined by the UCPD Access Control Policy, including but not limited to, programming access cards, maintaining accurate records of all access control activities, ensuring appropriate authority prior to issuing keys, ordering replacement keys as needed, recovering department keys from departing personnel, reporting any failure to recover access control keys to department management and UCPD, and securely storing unassigned keys in the department's UCPD-approved cabinets.
  • Conducts regular periodic rounds to inspect areas for security, fire and accident hazards and take appropriate action as required, including reporting infractions of fire and building codes, building rules and other building irregularities to management.
  • Supports and improves correct operation of the receiving process. Point of contact for Campus mail services.

15% - Safety and Hazardous Materials, Hazardous Waste Monitoring and Review Documentation
  • Conducts regular and periodic inspection rounds for Safety, Hazmat, Haz Waste and Medical/Biological waste compliance. Inspects areas for security, fire and accident prevention hazards to advise appropriate campus units or occupants to take corrective action. Takes immediate and appropriate action as required to ensure personnel and property safety and coordinate long-term/permanent corrective actions are performed by the appropriate campus units.
  • Monitors biological/medical waste storage area to ensure compliance with rules and regulations including documentation of waste pickups and documentation of weekly inspections conducted and service received by outside vendors or campus units.
  • Attends and maintains safety training, adhere to work protocols and safety requirements, including ensuring that personal protection equipment for self and student workers is adequate, worn and used. Follows and recommends best practices for safe use of equipment, ladders and ensure protocols for entering hazardous and biosafety labs are followed by self and student staff.

REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Thorough knowledge in the areas of building space planning, codes, capacity, security, fire safety, organization and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Thorough interpersonal skills including good service orientation, effective problem solving, multi-tasking, capacity to prioritize daily activities effectively. Ability to interact and communicate in a professional, friendly, courteous manner with a diverse faculty, staff and student population of a wide variety of cultures, backgrounds and technical skills, from technical experts to non-technical persons, is critical.
  • Working knowledge of practices and procedures relating to building and facility maintenance, physical key control, issue and electronic access control systems (i.e. CCure system).
  • Skills to work independently and as part of a team. Working organizational skills to work on multiple projects with competing deadlines, to establish goals and workload priorities, and to meet project deadlines within budget and time constraints.
  • Advanced computer skills with ability to learn and operate various UCSC computer programs, most of which are web based. Very comfortable using web browsers, researching on the internet, reading and responding to large volumes of email, using request ticket systems, Google email, Google applications, Microsoft applications.
  • Demonstrated ability to independently learn and absorb new technical and procedural information from a wide variety of sources, including self-guided searches via the internet and online courses provided by the UC Learning Center.

PREFERRED QUALIFICATIONS
  • Experience as a Facility assistant with duties connected with access control system, purchasing, safety, ergonomic, emergency preparedness.
  • Ability to read and interpret floor plans, construction drawings, and technical manuals.
  • Written communication skills to prepare a variety of correspondence, reports, policies and procedures, and training documents. Demonstrated filing, record keeping skills, and the ability to develop and maintain accurate and legible records with strict attention to detail, spelling and punctuation skills sufficient to produce grammatically correct business correspondence and reports.
  • Working knowledge of practices and procedures of safety and emergency preparedness.

SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Must possess a valid license to drive in the state of California. Class C Driver's License
  • Ability to work long periods of time at a computer with or without accommodation.
  • Ability to perform essential physical job functions.
  • Ability to conduct outdoor site visits, including use of required personal protective equipment, as required to conduct investigations, inspections, or view work in place.
  • Will be required to work all scheduled hours on-site.
  • Ability to occasionally work overtime with little or no advance notice.

  • Ability to work safely in areas where hazardous materials are present or stored.
  • Ability to read signs and follow directions on labels that are written in English as well as ability to read and understand Material Safety Data Sheet (MSDS) and the proper use of chemical compounds.
