We are looking to add an Executive Assistant to support our CEO to the team.
We are looking to add an Executive Assistant to support our CEO to the team.
What You Will Be Doing
Major Duties/Responsibilities:
"Provide senior level assistance to the Managing Member
"Act as a custodian/gatekeeper of Managing Members office
"Manage Managing Members calendar and business travel itineraries
"Act as the point of contact between the Managing Member and employees/clients
"Manage/arrange conference calls using company software
"Facilitate internal communication (e.g. distribute information and documents as necessary)
"Arrange for lunch as needed
"In charge of sorting incoming/outgoing mail including courier arrangement for the Managing Member
"Coordinate executive communications, including taking & screening calls, responding to emails; monitor, delegate and act on them as required and interfacing with clients
"Prepare internal and external documents/correspondence
"Maintain an organized filing system of paper and electronic documents, including corporate files and Managing Members personal files
"Coordinate personal and/or domestic matters with Managing Member's personal assistant
"Prepare the Managing Members business activities on a daily basis and ability to foresee his operational needs
"Uphold a strict level of confidentiality
"Develop and sustain a level of professionalism among staff and clientele
"Other duties as required

What You Need for this Position
Experience/Education:
"Minimum of 5 years experience as an Executive Assistant reporting directly to senior management
"Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
Construction Industry
"College degree preferred. High School diploma required.
Qualifications:
"Proven work experience as a Senior Executive Assistant
"Knowledge of office procedures
"Solid experience with office management systems such as MS Office
"Familiarity with online calendars and cloud systems
"Experience using office equipment, including printers and fax machines
"Strong communication skills (via phone, email and in-person)
"Experience exercising discretion and confidentiality with sensitive company information
"Excellent organizational skills with an ability to think proactively and prioritize work
