The Role:

Provide executive level administrative support to the Senior Vice President – Build Operations and President/CEO. Assist the Leadership Team in delivering successful projects to our clients that exceed their expectations.

Responsibilities:

  • Prepares reports by collecting and analyzing information.
  • Represents the executive by attending meetings in the executive's absence and speaking for the executive.
  • Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.
  • Contributes to team effort by accomplishing related results as needed
  • Travel coordination
  • Provide clerical and administrative support to Executive Team
  • Maintain confidential files and create new files as needed, including legal files
  • Voucher general administrative invoices for payment
  • Perform general office duties such as ordering office supplies and restocking kitchen
  • Handling, sorting, distributing, delivering and picking up mail
  • Run miscellaneous errands, pick-up/deliveries per supervisor's request
  • Calendar and meeting management
  • Records management and document control
  • Event registration and planning
  • Client relations (gifts, events etc.)
  • Expense reporting
  • Document meeting notes
  • Perform all other related work, as assigned or as apparent


Expectations:

  • Must work in office most weeks Tuesday through Thursday, and other days as needed

Prerequisites:

  • 3+ years of Executive support and office management experience is required
  • Bachelor's Degree is required
  • Excellent computer skills with proficiency in Microsoft Suite (Outlook, PowerPoint, Excel) is required
  • Experience in commercial Construction, Architecture or Interior Design is a plus
  • PDF editing experience is a plus
