About the Role

The Executive Assistant will receive general direction from the executive(s). You must understand the responsibilities, needs and priorities of the executive(s) and always maintain a high level of confidentiality. Most importantly, this position anticipates the needs of the executive(s) and acts accordingly.

Responsibilities

  • Providing Administrative support to busy Executives, their activities and responsibilities. You will manage calendars, email, and phone communications including outbound calls.
  • Anticipating business needs of the executives, both on a routine and a project basis. Developing and maintaining a system that alerts executive to upcoming deadlines on requests or events.
  • Managing domestic and international travel and coordinating events. Creating travel folders with all related materials.
  • Researching, creating and maintaining a file on all relationships in advance of meetings. Gathering and preparing information and materials for meetings. Working closely with staff to ensure timely provision of back-up and informational materials relevant to meetings.
  • Composing correspondence of a routine nature; edits and drafts periodic newsletter and written communication for internal staff. Polishing and finalizing memos and presentations; distributing written communication to proper departments for follow-up.
  • Scheduling and managing domestic and international telephone and video conference calls. This includes strategically planning and coordinating meetings based on knowledge of content and business expectations.
  • Maintaining records and processing expense reports, invoices and all requests for payment or reimbursement. Processing and monitoring organization memberships, dues, subscriptions, and ensures that membership dues are paid in a timely manner.
  • Ensuring that administrative tasks are performed in an effective and efficient manner. This includes copying, reviewing mail, drafting correspondence, screening telephone calls, and maintaining files. Resolving routine to complex inquiries, working proactively and solo as well as exercising maturity and resourcefulness.

Requirements

  • Have minimum of seven years of administrative experience, with experience in global matrixed organizations.
  • Demonstrate ability to handle confidential information appropriately; diplomacy, professional conduct and discretion always exhibited.
  • Possess excellent written and verbal communications skills.
  • Able to work well in a collaborative environment and a drive to collaborate across multiple internal departments
  • Able to handle multiple tasks and deadlines with attention to detail
  • Show proficiency in MSOffice Suite, Concur for Travel and expense planning.
