Working under the supervision of the Manager, Engagement & Events, the Engagement & Events Specialist will oversee all aspects of registration, travel, housing and transportation for our Field Leadership Meeting, US Conference, and CDN Conference. The associate will assist the employee engagement efforts for all domestic Field employees, including monthly participation events that drive excitement around hot titles, pop culture, and related merchandising efforts. This role interacts with a supervisor several times a week, perhaps daily, to receive guidance and feedback. Some non-routine activities may require a supervisor’s advance approval.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES*
Manages the following elements for the annual US and Canadian conferences and Field Management Meeting:
Manages GS Conference mailbox and answers all questions from internal customers
Assists in selection of registration companies; launches registration to all attendees; manages registration process and integrity of registrants; ensures all registrants have completed registration properly
Primary contact for our travel partner and is responsible for completing and submitting group form so travel partner can set meeting specifications; approving airline contracts; flight patterns; fares; changes; and reconciles final flight statement with travel partner and accounting department
Primary on-site contact for housing at the selected conference hotels and is responsible for roommate matching and room assignments.
Submits RFP to transportation providers and selects transportation for the conferences; primary contact for the selected transportation company and is responsible for submitting flight manifests to secure shuttles; secure transportation for ancillary groups; and works to reconcile final bill
With supervisor guidance, co-manages the development and content of the GameStop events & engagement website
Assist Manager, Engagement & Events with the monthly employee engagement activities, partner with internal departments like Merchandising to create exciting engagement opportunities/prizing, responsible for writing communication around engagement elements for Main Menu, and distributing prizing to winning employees.
Take notes/minutes at all conference-related meetings for distribution
Assist in travel program audits and reconciliation

1-2 years years experience in meeting/exhibit planning experience
Communications experience a plus
Certified Meeting Professional (CMP) designation preferred

Proficient organizational skills with the ability to work under high pressure and handle multiple tasks concurrently
