Locally owned company has a rewarding and challenging position available at our East Madison office.

Job Duties and Responsibilities:

· The basic functions of this position is to provide superior customer service, administrative support, accurate data entry, timely and efficient scheduling, update and communication of service order status, report preparation as required by the Service Manager to meet service goals and customer requirements.

· Perform those activities necessary in supporting the proper documentation of service order completion, part requisitions, parts ordering, warranty submissions, equipment commissioning, service order status, required checklists and/or forms, time tracking and entry, vehicle maintenance, expense reporting, schedule changes, and all other documentation as deemed necessary.

· Administration duties – provide accurate service quotes and service equipment quotes as may be requested by sales staff.

· Work with the service manager on time and material projects – prepare accurate cost breakdowns and submit to accounting for billing.

· Daily entry of timecards.

· Daily update of ticket status.

· Weekly processing of expense reports.

· Processing of weekly vehicle inspection reports.

· Open order report reviewed weekly and any issues reported to Service Manager.

· Daily parts requisition to purchasing by 2:00 pm. Requisitions must include work order number and date required.

· Daily invoicing of all service tickets.

· Prepare test results.

· Complete paperwork necessary for equipment installation warranty.

· Backup other dispatch team members when needed.

· Maintain a neat, orderly and well organized work space.

· Treat each and every customer and employee with respect and professionalism.

· Treat all company and employee information in a confidential manner.

· Immediately report any customer dissatisfaction to the car wash manager/service manager.

· Follow all rules and procedures outlined in the employee handbook.

· Follow all rules and procedures outlined in the safety manual.

· Other job duties as may be assigned.

Job Skills Required:

· Must possess excellent communication skills, both verbal and written.

· Ability to function within a team environment, and promote teamwork.

· Organizational skills sufficient to adhere to daily schedules and deadlines.

· Ability to provide superior customer service. Previous customer service experience desired.

· Ability to operate/program/utilize a variety of computer programs.

· Reasonable physical mobility is required to maneuver within an office environment. Education:

· Required: High School Diploma or GED

· Preferred: High School Diploma or GED with additional training in Microsoft Programs/Accounting Programs
