Psi Delta House Director Job Description

The House Director position’s primary responsibility is the general management of the facility at 1630 E. Sorority Row. This is an overview of the position and the duties are not limited to what is listed here.

Major Job Duties

Managerial Responsibilities:

  • Serve as the primary property manager for the Psi Delta Chapter House.
  • Supervise personnel at the chapter house including the maintenance persons
  • Be responsible to the House Corporation board for all employees’ activities, which may include verifying the hours employee’s work.
  • Supervise the Facilities Managers to perform duties as directed. This includes managing summer storage, assisting in opening and closing the house, changing vacuum bags, shower curtains, light bulbs, smoke detector batteries and other light maintenance/housekeeping functions as directed.
  • Work with the Facilities Managers to track guest meal fees.
  • Supervise the purchase and storage of all supplies in compliance with all applicable local, state and federal health and safety codes or regulations.
  • Supervise the Chapter Facilities manager(s) in menu planning.
  • Work closely with the Personnel officer of the collegiate chapter and the Personnel Advisory board to handle personnel issues that may arise.

Physical House Management:

  • Be responsible to the House Corporation Board for the physical plant of the house. Maintain the smooth and harmonious functioning of the physical plant and well kept appearance of the interior and exterior of the house.
  • Inform the House Corporation Board if things are missing or need to be repaired.
  • Ensure proper maintenance of the house, furnishings and grounds. Secure minor repairs through the appropriate list of agencies provided. The House Director is authorized to secure minor repairs for items up to $300 without consulting the House Corporation in advance. The House Director has a fiduciary responsibility to protect the property. As such, in emergency situations where the House Corporation board members cannot be reached, the House Director has the authority to approve repairs necessary to prevent additional damage, even though expenses might exceed $300. Be proactive in informing and recommending to the House Corporation any repairs or equipment failure.
  • Work with the House Corporation to secure ongoing maintenance services including Internet, cable, trash hauling, housekeeping, snow shoveling, pest control and major repairs such as painting, roofing, etc.Compile a list of recommended major house maintenance items to the House Corporation for completion over the summer, including painting of specific rooms, etc.

Administrative Duties:

  • Keep records and make financial reports as required by the House Corporation. This may include paying bills on behalf of the House Corporation and keeping Room and Board Contracts and necessary paper work. Reconciling invoices from vendors as needed.
  • Meet weekly with the Facilities Managers and Cook to assure house operations run smoothly.
  • Maintain in strict confidence the workings of the Chapter, and the social and financial affairs with respect to non-members of the fraternity.
  • Participate in social functions at the request of the Chapter
  • Perform other duties as may from time to time be requested by the University
  • Attend House Corporation Board meetings when requested to do so
  • Attend the Chapter’s weekly General Meeting and give a report if needed
  • Attend the Chapter’s weekly formal dinner
  • Run errands as necessary for the House
  • Prepare the Chapter House for Opening in the fall and closing in the spring
  • Abide by the Psi Delta House Rules
  • Familiarize yourself with the house rules and the live-in contract the girls sign. Assist the chapter President and officers in upholding all rules.
  • House Director shall not have the authority to enter into any contracts for goods or services on behalf of the Chapter or House Corporation beyond the scope of her designated duties without prior written permission from the Corporation President or Chi Omega National Headquarters.
  • House Director to meet (via Zoom/Phone Call) with College Fresh Regional Manager Monthly.

House Security Responsibilities:

  • Work with the House Corporation and Chapter to ensure house security.
  • Secure all entrances, front and back and sliding glass doors and screens by 7 p.m. and then re-check at 9:30 p.m. Make sure entrances are well lighted each night. Check to make sure all windows and doors associated with the sundeck are locked by 9:30 p.m. Check to ensure all windows are closed and locked on main floor and basement.
  • In an emergency, make the necessary emergency service telephone calls first (i.e. 9-1-1). Support the Chapter President in fulfilling her emergency responsibilities as outlined in Chi Omega Fraternity’s Emergency Procedure. Security of the house and the Chapter members is the number one priority of you position. Notify appropriate authorities for any and all criminal activity and medical emergencies. Cooperate with authorities in investigations as needed.
  • House Director and Facilities Manager shall conduct one fire drill each semester and ensure all fire doors remain closed. (Arrange in advance w/ fire department so they know it’s a drill). House Director shall ensure all girls are briefed on how to open basement windows.
  • Security for the house and chapter members: see the housing contract for the members.
  • Maintain the security codes for Chapter members and personnel. House Preparation:
  • Supervise the preparation of the house for opening each semester by following the checklist provided by the House Corporation.This also includes checking out all rooms before possession is taken by each member and making her own damage/cleaning survey sheet of each room

Order necessary supplies to open the house in coordination with the Chef
Check in the members, assign key fobs and codes after necessary paperwork is complete

  • Supervise the closing of the house by following the checklist provided by the House Corporation.This also includes checking out the rooms at the end of the year not only at the time the member checks out, but also after they have moved out and making her own damage/cleaning survey sheet for each room.

Follow closing checklist and any other necessary tasks to close up the facility.

Other Responsibilities:

  • As a representative of the Psi Delta Chapter of Chi Omega, the House Director may interact with parents, university officials or others. The House Director should be a person of graciousness, hospitality and warmth when relating with others. The House Director should keep a neat and clean personal appearance and will be appropriately dressed when interacting with the chapter members and visitors as may occasionally occur.

Requirements:

Skill and Knowledge: Leadership skills, management skills and organizational skills are required. Bookkeeping skills are recommended. Must be able to take charge in an emergency and be reachable by phone at all times. Must have a personal computer in order to pay bills online.

Physical: Must be able to lift up to 40 lbs unassisted and carry up and down stairs. Working Conditions: Work is performed at the Chapter house and grounds.

Supervision: This position reports to the House Corporation Board of Directors.
