GENERAL SUMMARY:


Works for and provides assistance to the Rehabilitation Services Department. Acts as a receptionist in the Rehabilitation Department. Registers patients, gathering and verifying necessary insurance, billing and medical record information. Schedules patients, assembles patient files/record, records departmental attendance, obtains prior authorizations and/or certifications. Performs general typing/keyboarding tasks. May assist with some of the general duties performed by the Physical Therapy aide.


MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
High school level of knowledge including typing/keyboarding at 70 WPM, and ability to use computer software and pass skills assessment.

Knowledge of medical terminology.

Three to six months of office experience, preferably with experience in answering the phone, meeting the public, maintaining records, scheduling, and using a computer.

One to three months of on-the-job training and experience in order to become familiar with the Rehabilitation Department, the nursing units and other hospital locations; learn other service/clerical duties.

Interpersonal skills necessary to effectively and tactfully communicate with patients, staff and physicians, both in person and on the telephone.

Must be motivated, able to work with minimal supervision, have excellent customer service skills.

Organizational ability to maintain records, files, schedules, etc. while handling frequent interruptions and telephone calls.


PRINCIPAL DUTIES AND RESPONSIBILITIES:
Supports the mission, values, goals and objectives of Manistee Hospital as it strives to evolve as the premier provider of choice for quality, comprehensive, and cost-effective healthcare to the people of Manistee and surrounding communities.

Acts as receptionist for the Rehabilitation Services Department including answering the telephone, scheduling patients and directing patients/visitors to the appropriate location. Also prepares daily therapists' patient schedules.

Interviews Rehab (P.T., O.T., S.T.) patients or responsible person to gather necessary billing, insurance, and medical record information; assigns patient number.

Verifies insurance and obtains authorization approval from insurance company according to Hospital policy and enters insurance, and medical record information into the Hospital computer system.

Contacts referring physician's office to obtain treatment authorization numbers/codes for all scheduled patients, if pre-certification is required by the patient's insurance company.

Prepares and distributes all necessary registration forms; secures signatures and witnesses forms, which include, but are not limited to: a) Admission Record, b) Medicare Letter (where applicable), c) Patient Advocate Form & Five Wishes Form (Inpatients, Observation & SDC), d) Patient Bill of Rights, and e) non-coverage letters. Prepares patient label and identification wristband.

Refers patient to Patient Accounts regarding payment of bills or to complete financial arrangements according to established policy for private pay admissions.

Keyboards patient documentation in the EMR as directed, including assessment, progress notes and discharge summaries (once they are inputted by the therapist). Sends a copy of all patient documentation to the referring physician.

Ensures that the original copy of all out-patient records, including a completed attendance record, Medicare forms as needed, and original physician referral are sent to the Medical Records Department.

Creates a Physical Therapy file for all patients referred to the Department.

Completes Medicare/Medicaid Certification as necessary and obtains physician signature.

Types reports for the manager as directed.

Collects data, monitors, and prepares reports for CQI activities.

Assists with patient care as directed:

  • Cleans and maintains treatment areas by cleaning and changing mats, changing linen, cleaning and refilling equipment, etc. Reports needed repairs to manager.
  • Prepares equipment by filling tanks, checking and adjusting controls and setting timing devices.
  • Assists with transporting of patients, giving verbal guidance to maximal physical assistance as required.
  • Performs related service duties such as stocking linen, cleaning departmental equipment, retrieving supplies from other hospital areas, changing tables, and disinfecting equipment according to infection control standards/procedures.


Performs job responsibilities in an ethical, compliant manner consistent with the organization's values and the Hospital's Corporate Compliance program, policies, procedures and protocols.

Applies PI concepts and methods throughout related activities.

Performs other related duties as requested.
