SUMMARY:
This staff person is responsible for overseeing general front desk duties as well as offering administrative assistance to all staff as needed. The responsibilities as outlined below:
DUTIES AND RESPONSIBILITIES:
  • Helping maintain workplace security by issuing, checking, and maintaining visitor logs.
  • Assisting with a variety of administrative tasks including copying, faxing, taking notes, and sorting of files for medical records.
  • Preparing meeting and training conference room.
  • Answering phones in a professional manner, and routing calls as necessary.
  • Responding to all customer inquiries in a polite and timely manner
  • Greeting visitors when they arrive for meetings with management
  • Assisting colleagues with administrative tasks.
  • Performing ad-hoc administrative duties.
  • Answering, forwarding, and screening phone calls, transcribing and distribution of overnight voice messages.
  • Receiving, sorting and distributing all incoming and outgoing mail and packages.
  • Provide excellent customer service.
  • Assist Payroll Specialist with distribution of payroll following all security procedures.
  • Performs other job related duties as needed.
  • Assist with maintaining confidential personnel and medical records as HIPPA mandates.

REQUIRED SKILLS:
  • Must have a High School Diploma
  • Experience in basic filing skills
  • Knowledge of HIPAA and confidentiality policies
  • Consistent, professional dress, and manner.
  • Excellent written and verbal communication skills.
  • Excellent ethical work ethics
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Good time management skills.
  • Maintain flexible work schedule.
  • Experience with administrative and clerical procedures.
  • Able to contribute positively as part of a team, helping out with various tasks as required.
  • Outstanding customer service and interpersonal skill
  • Ability to multi-task and excellent organizational skills.

ADDITIONAL REQUIRMENTS
    • Prefer Associate’s or bachelor’s degree in a related field.
    • Prior experience as a receptionist or in a related field.
    • Prefer previous Medical Records experience of at least 2 years
