Responsibilities:
Represent the Arkansas team with a positive and friendly attitude, a gracious and welcoming demeanor, a keen eye for detail, a professional manor, and a sense of humor. Taking ownership to make everything run efficiently, while in the office or virtually.
Demonstrate a proactive desire to learn Paramount’s business and grow with it.
Coordinate all in-person meeting logistics – applying current protocols (eg Covid), securing meeting rooms, providing meals/snacks/beverages as needed, welcoming guests, notifying team member when the guest arrives. Finding solutions if you will not be in the office to make sure everything is seamless.
Partner with team lead in development and logistics of sales presentations for Entertainment Council, Studio Swing, Retail Rountables, etc.
Proactively assist Senior Vice President in regular day to day business – scheduling, meeting coordination, travel, expense reports, etc.
Assist 2 Vice Presidents and one Senior Director.
Finding ways to anticipate needs and alleviate workload and find solutions to make the team run as efficiently as possible.
Ensure that all systems are running efficiently and that the office looks great, especially when buyers or out-of-town guests arrive.
Handle all Arkansas office logistics – troubleshooting tech issues, ordering offices supplies, coordinating cleaning needs, stocking the fridge, keeping group spaces looking good/making the office presentable, etc.
Establish relationships with the team and (remotely) with all executive-level assistants in NYC, LA and Minneapolis to facilitate scheduling and other office needs.
Run with ideas and implement them with a special touch of creativity to set our office apart.
Plan and implement regular team-building events.
Budget, track and handle all travel and office expenses.
Draft team and other communications as needed.
Provide team administrative assistance to both the Arkansas & New York City teams.

Basic Qualifications:
2+ years as an executive assistant with experience running all aspects of an office
Independent, self-starter required
Strong organizational skills, attention to detail, and creative flair
Ability to anticipate needs and lead multiple tasks
Very strong written and oral communication skills
Relationship development
Excellent skills in Outlook, Microsoft Word, PowerPoint and Excel

Additional Qualifications:
Provide experienced support to one or more departments
Bachelor’s degree, preferred

ADDITIONAL INFORMATION

Hiring Salary Range: $55,000.00 - 65,000.00.

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
