Position Summary

Responsible for writing and editing content for the Office of the Secretary external and internal communications. Also responsible for all governance operations activities, from member elections to materials management, to meeting logistics, as well as online surveys.

Job Responsibilities

  • Serves as first point of contact for inquiries to the Office of the Secretary. Responds to, or triages, inquiries as needed.
  • Manages scheduling for Board and Faculty annual/ad hoc governance meetings; coordinates with internal/external leadership and staff to ensure requisite attendees are available and quorums met. Coordinates meeting logistics, working with service vendors.
  • Manages Office calendar-of-work, coordinating project planning agenda and monitoring workflow and timetables to ensure team deadlines are met.
  • Drafts and/or edits/proofs and manages logistics for, annual and interim communications with Board Fellows, Faculty Councils, and internal staff groups in coordination with both internal and external stakeholders.
  • Drafts communications related to governance actions and membership changes.
  • Maintains, reviews and updates content for communication applications, and public and secure websites for the Board of Fellows and Faculty Councils.
  • Serves as primary proofreader for annual Board publications.
  • Manages (creates, tracks and updates) electronic recordkeeping for corporate governance materials in a fully-digitized workplace. Serves as point person to ensure all electronic files are properly identified, posted and organized.
  • Conducts annual election processes for Special Board representatives and for General Faculty Council members, including all communications with faculty constituents and coordination of online voting through online survey software.
  • Responsible for daily office operations, including working with internal and external service providers to maintain efficiency of team.
  • Performs other related duties as assigned.

Education

  • Bachelor's Degree

Experience

Approximately 3-5 years of relevant experience, including electronic document management and working with internal and external clients at a senior management level.

Experience working in an academic environment is a plus.

Experience with interacting with executive and Board-level client base is preferred.

Knowledge, Skills and Abilities

  • Adept at independent business writing and one-on-one and small group communications.
  • Comfortable acquiring new knowledge/skills and facile at advancing multiple different tasks each day.
  • Technologically proficient, including working in a networked, paperless environment.
  • Knowledgeable in electronic document retention/archiving and information retrieval.
  • Experienced with Acrobat Professional and Microsoft Office365 (MS Word, Excel, PowerPoint, OneDrive). Familiarity with online content management systems and Mac operating system a plus.
  • Strong customer service orientation.
  • Excellent interpersonal, analytical, organizational, and written and oral communication skills.
  • Keen attention to detail.
  • Ability to work in a deadline driven environment.

Work environment is hybrid – remote at home and in-office on main campus.

Work assignments may necessitate occasional evening or early morning hours.
