Brief Summary of Job Duties

THIS IS A 100% CONTRACT POSITION OF APPROXIMATELY 6 MONTHS in DURATION. NO PERMANENT STATUS WILL BE OBTAINED THROUGH THIS POSITION.

The Campus & Community Engagement / Special Projects Manager will assume the high-level essential responsibilities of the Director of Education and Community Engagement position on an interim basis. Reporting to the Associate Director, this position is responsible for planning programs and creating relationships with educators and community leaders to fulfill Arts & Lectures' educational mission; and directs the ¡Viva el Arte de Santa Bárbara! community arts program. Arts & Lectures educational outreach provides experiences that embrace the University's rich intellectual, artistic and inquisitive life bringing together world-renowned artists and thinkers, reaching 12,000 to 15,000 UCSB students and community members each year. The interim incumbent will support senior leadership by creating and managing these educational programs and cultivating and sustaining relationships with educators and community leaders to fulfill Arts & Lectures' mission to make a major transformative impact on the campus, contributing to Development efforts, complementing Marketing efforts, and generally raising the institution's profile.

Manages highly complex events, including events, or high visibility events involving influential or important friends or members of the campus community. May orchestrate large scale events in support of the campus, which include senior campus management, University executives, faculty, international dignitaries and government officials.

Required Qualifications

  • Bachelor's Degree in related area or equivalent experience and/or training.

  • Knowledge of or experience in some area of performing arts including ability to articulate and promote Arts & Lecture programming, vision, mission and goals.

  • Excellent written, verbal, interpersonal communication and leadership skills.

  • Experience working in a public education environment.

Preferred Qualifications

  • Master's Degree in education or public relations.

  • High level of knowledge and professional contacts within the Santa Barbara community at large.

  • Driver’s License (U08): Must maintain valid CA Driver's License, a clean DMV record and enrollment in DMV Pull-Notice progam.

Job Functions/Percentage of Time/Duties

Programming Management - 55% - With the Executive Director and Associate Director, the Campus & Community Engagement/Special Projects Manager participates in the departmental programming process by evaluating prospective artists' and lecturers' uitability for educational outreach and matching programs to outreach mission and needs. The incumbent also supports A&L programmatic campus and community development. Manages and implements public performances and lectures on behalf of the organization. On behalf of the Performing Arts and Education programs, negotiates details of engagements, including: booking available dates with local venues; creating event budgets with detailed financial recommendations to the department; supports Programming in the negotiation of outreach fees, travel and lodging accommodations or buy-outs, and extensive technical and hospitality riders. Manages event advance work to ensure budget is adhered to; organizes, tracks, and disseminates complex event information to external and A&L departments. Negotiates multi-day Education, Outreach, and Community Engagement residencies, oversees contract development, and coordinates activities and technical requirements with artists, tour managers, and agents.

Works closely with Executive Director and Associate Director to develop programmatic goals and financial outcomes related to programming and events. Has authority to represent Arts & Lectures at campus and community events. Acts as principal contact with lecturers, performers and their agents for select lectures, performances, and other events. Organizes residency activities in coordination with A&L management team and schedules appropriate venues with technical and audio-visual support. Develops and schedules classroom visits by lecturers/performers with interested faculty and community partners and encourages special group sales. The Campus & Community Engagement / Special Projects Manager (the Manager) establishes and maintains relationships with key campus stakeholders, including UCSB vice chancellors, deans, department chairs, professors, and researchers, program directors, and students to create transformative opportunities for learning and innovation, and attract students and public to the campus with master classes, lectures, discussions, workshops and specially designed programs and courses that promote artistic literacy, innovation, cultural entrepreneurship and collaborations across disciplines. Effectively interacts with senior campus administration, boards of trustees, and related community groups.

In the community, The Manager works with school district administrators, principals, teachers, afterschool programs, cultural and civic organizations, and local artists to create sustainable partnerships that provide opportunities to share the University's resources to create activities such as master classes, workshops, lecture-demonstrations, Q&A's, social gatherings, school assemblies and development activities in multiple venues. Maintains a high-level of knowledge and professional contacts within the Santa Barbara community at large including local philanthropists, local foundations, non-profit and civic leaders.

Production Management – 30% - The Manager has full managerial responsibility and accountability for the planning, advancement and successful implementation of high-profile public events, with the ability to carefully assess and manage risk. Prepares event budgets, secures needed technical and hospitality provisions, equipment and supplies, and reports on expenditures. Working with a high degree of autonomy, the Manager leads the event planning and advance work with artists' managers, technical staff, hospitality and other event staff. Creates detailed and highly complexed residency schedules ensuring coverage of all essential event responsibilities and timelines.

Functioning with autonomy, the Manager has the pivotal role in leadership and creating consensus among the University's partners, including managers from the Marjorie Luke Theatre, the Guadalupe-Nipomo Dunes Center, and Isla Vista School PTA to envision overall priorities and direction for ¡Viva el Arte de Santa Bárbara!. The Manager is responsible for budgeting season finances of roughly $200,000 each
year and recommending contracts with collaborating organizations to define their budgets and responsibilities in producing free public events. The Manager is responsible for ¡Viva el Arte de Santa Bárbara! educational activities, maintaining a network of community contacts,reaching out to educators (schools, afterschool programs, county education office, city and county government) and heads of community organizations and businesses to create workshops, lecture-demonstrations, Q & A's, social gatherings, and school and afterschool assemblies with the visiting artists in free events at accessible non-traditional venues countywide. The Manager attends ¡Viva el Arte de Santa Bárbara! events, interacting with the public at every opportunity. The Manager is responsible for overseeing the marketing and publicity for the program and events through the media and informal networks, providing program evaluation and feedback, and working with Arts & Lectures Development personnel to create grant requests and funding reports, and to meet with funders.

Supervision and Development – 15% - The Manager supervises two full-time staff: the Education Outreach Coordinator (Blank Asst 3), whose duties include a wide range of event production, creation of bilingual promotional materials using graphics programs, attending and documenting outreach and performances, reporting expenses and attendance figures, training and assigning work for students; and the Education Associate (Alumni External Rel Spec 2), whose role includes deepening the programs impact across campus and the community by implementing events and communications strategies; researching details to inform program planning; and managing program data used to analyze, evaluate, and report on activities.

They/She/He works closely with the Senior Director of Development and Executive Director on critical fundraising /development activities designed to enhance and support education and community engagement programs and events and bring revenue into the department, including playing an active role in the cultivation and stewardship of donor relationships.

The Manager hires, trains and oversees the function of various student assistants. This role manages systems and procedures to create, collect,catalog, and protect departmental assets relevant to Arts & Lectures education and community programs.Perform other duties as assigned
