Associate, Real Estate & Lease Management Job at Red Robin
The Associate, Real Estate & Lease Management is responsible for all lease administration functions including maintenance of lease information/systems and preparation/execution of real estate documents. Oversees property management functions including matters such as signage, parking, security, closures and CAM issues to ensure lease compliance and execute upon corporate initiatives. Collaborate with brokerage team related to lease renewals for all corporate Red Robin locations. Utilize financial tools and analysis to assist with lease negotiations & property management decisions.
Essential Functions of the Job:
Responsible for all lease administration functions
Primary point of contact regarding company’s lease administration system
Coordinates the delivery of electronic documents to third-party vendor
Ensures Landlord and/or property management contact and payment information is maintained/updated
Assists attorney in handling matters pertaining to the review and preparation of documents including but not limited to: basic lease amendments, estoppels, SNDAs and renewal notices.
Prepares basic legal documents for attorney approval and executive signature by typing, formatting, and proofreading texts, and manages the coordination of document execution, advising necessary parties of the receipt of such executed documents and creating, organizing, and maintaining physical and electronic files
Liaison with company’s Real Estate, Development, Design, Construction, Facilities, Licensing, Operations, Legal, Tax and Accounting teams in the preparation and interpretation of legal documents as well as correspondence related to properties, such as default letters, routine lease violation notices, CAM reconciliations and billing disputes
Oversees property management for all Red Robin restaurant locations
Primary point person for all property management questions
Engages in communications with Landlord regarding matters such as signage, parking, security, closures, CAM issues, etc. to ensure lease compliance and execute upon corporate initiatives
Partner with facilities & operators in establishing and preserving positive relationships with Landlords by addressing complaints and resolving problems
Collaborate with brokerage team related to lease renewals for all corporate Red Robin locations.
Support the Lease Administration software / reporting process and accurately report / communicate critical portfolio dates and decision requirements
Participate in regular meetings with Real Estate Director and third-party brokerage to track ongoing lease negotiations.
Facilitate the preparation of materials needed for monthly real estate committee meetings to ensure timely approval of lease renewals.
Coordination and execution of lease documents, in coordination with Real Estate Legal and external firms
Utilize financial tools and analysis to assist with lease negotiations & property management decisions.
Compiles and maintains all information necessary to evaluate and support third-party brokerage lease negotiations.
Present financial benefits for individual deals to Real Estate Director
Work with FP&A and Accounting on financial impact of real estate strategy
Carry out special portfolio related projects as assigned
Projects may include researching, gathering, compiling & presenting data related to varying portfolio related initiatives.
Nature of involvement will include financial analysis and lease interpretation.
Qualifications and Competencies
Bachelor’s degree in Real Estate Development, Finance, Business, Legal/Paralegal or related field of study and a minimum of two years’ experience in commercial real estate lease administration or combination of education and experience.
Eperience in multi-unit retail or hospitality environment preferred.
Detail oriented
An understanding of contract law and commercial real estate transactions and provisions
Strong problem-solving skills
Good presentation skills
Strong negotiating skills
Excellent analytic skills with financial analysis experience within a real estate business environment
Ability to work independently, exercise sound judgment when making decisions and refer appropriate matters to supervisor when necessary
Experience with lease management software (CoStar is optimal), or otherwise the ability to become proficient quickly in this software

Compensation Range: $69,100.00 - $95,050.00
