      Position Summary
      Full-time position available on or after April 10, 2023 in the Stockton Campus for Extended Education Operations.

      Under general direction of the Interim Dean, College of Science and the day-to-day direction of the department chair, the ASA II will work closely with the Stockton Extended Education Nursing (and Health Science) programs. The incumbent will provide general office and clerical support to over 250 students, 25 faculty, and staff for Extended Education Nursing programs.


      Job Duties

      Duties include but are not limited to:
      • Provide general office support, e.g. answer phones, greet and direct visitors, communicates with students and prospective students.
      • Provide administrative support for classes, student nursing club and nursing honor society.
      • Schedule and advertise monthly information sessions.
      • Serve as a resource for the school, faculty, students and community regarding university policies and procedures.
      • Maintain electronic databases of current students and alumni.
      • Responsible for processing travel requests, blanket travel and reimbursements.
      • Monitors Defensive Driving currency.
      • Complete R-25's for site reservations.
      • Review, edit and create documents.
      • Main collection and distribution person.
      • Assist with annual equipment inventory.
      • Maintain school e-mail.
      • Create key requests.
      • Assist with inventory of school supplies and notify ASC of need for supplies.
      • Process Pre-licensure applications in collaboration with Admissions and Records, track applications, prepare files for faculty committee review, and create ranking list.
      • Download TEAS scores, create student files by cohort, add cohort to Pre-licensure student forum in Blackboard and enter data into Filemaker Pro database.
      • Remove graduating Pre-licensure cohort from Blackboard database.
      • Maintain various databases and files pertaining to nursing students & graduates.
      • Assist with accreditation requirements, e.g. gather necessary documentation, compile information, create tables, etc.
      • Use campus systems to access and utilize student information, including lifting advising holds, obtaining transcripts, etc.
      • Create work orders: OIT, Facilities, Dining, Badges, etc.
      • Create office hours sign in sheets for faculty.
      • Process Graduation Approval forms.
      • Other duties as assigned.

      Minimum Qualifications

      Education: Completion of a high school program or its equivalent.

      Experience: Some experience in an office environment.

      Preferred Qualifications


      • Previous related administrative support experience in higher education preferred.
      • Knowledge of policies and procedures relating to Nursing programs desirable.
      • Knowledge of the California Board of Registered Nursing forms and requirements desirable.
      • Experience working with Commission of Collegiate Nursing Education accreditation requirements helpful.
      • General working knowledge of applicable university infrastructure, policies, and procedures.
      • General knowledge of CSU Stanislaus policies and procedures, e.g. purchasing, travel, payroll, budget, etc...
      • Ability to create forms desirable.
      • Fluency in using a computer and office software packages to include Microsoft Word, Excel, Outlook, PowerPoint and database programs (PeopleSoft, and FileMaker Pro desirable).
      • Ability to clearly answer routine questions and explain policies and procedures to students and other campus employees.
      • Demonstrated ability to be well organized and detail-oriented with the ability to effectively manage and coordinate a number of different tasks simultaneously, while meeting critical deadlines.
      • Demonstrated ability to work independently, using initiative, discretion and good judgment, in performing clerical work of average complexity with minimal supervision.
      • Advanced interpersonal skills.
      • Demonstrated ability to communicate clearly and effectively, both orally and in writing.
      • Demonstrated history of the ability to establish and maintain effective working relationships with others, including faculty, staff, students, and supervisors.

      • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
      • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
      • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
      • Demonstrated competence in effectively presenting standard information in writing.
      • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.

      Salary Range

      Anticipated salary will be $3,338 – $3,671 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Administrative Support Assistant II range: $3,338 - $4,913 per month)
