Purpose

The GAP position of Administrative Specialist III is intended to support and provide assistance in the day to day activities of executive, administrative, and operational duties. This position supports the Executive Director and Operations Manager in administration, human resources, public affairs, and fundraising activities. The position has access to appropriate and relevant confidential information for staff, supporters, and board members. This position is responsible for timely completion of reports, documents, and records.

Specific Duties and Responsibilities
The Administrative Specialist III is expected to:

1. Assist the Operations Manager in providing support in these areas:
A. Community Service Enrollment and Record Keeping;
B. IT and Technology Services
C. Accounting and Payroll - Control Payroll Inputting
D. External and Internal Security
a. Custodian of Records (COR)

2. Assist and provide support to the Executive Director in:
A. Grant making and program development;
B. The organization’s fundraising activities (community events, partnership events, off site fundraising events)

3. Promote and Extend the Reputation and Reach of the Organization;
A. Attend community meetings, collaborative meetings, and contractor meetings;
B. Help plan and staff the Gangfree Life Academy®;
C. Promote the organization through, articles, interviews, trade shows, conferences, etc.;
D. Represent GAP at agency meetings (OCB, LAUSD, etc.);
E. Promote the strongest positions of character building for staff within the understanding, culture, and policies of the Gang Alternatives Program.
F. Practice the highest standards of ethical conduct and moral leadership.

4. Keep all confidential and sensitive information protected as required by GAP’s Policies and Procedures and according to the Laws of the United States of America and the State of California;

5. Support the Executive Director:
A. Help implement the strategic plan;
B. Implement and enforce organizational policies, procedures, and guidelines;
C. Assist the the Executive Director in the work of the organization;
D. Perform all other duties as assigned by the Executive Director and Operations Manager.

Qualifications and Desired Skills
To be considered for the GAP position of Administration Specialist III, the applicant should:

1. Have a minimum A.A./B.S. degree in Business Administration, Public Administration, Communications, Education or other appropriate degree;

2. Have a minimum one year working experience in education, administration, and/or operations;

3. Have experience with computers and software in both a Macintosh or Windows environment:
A. Microsoft Word or Apple Pages;
B. Microsoft PowerPoint or Apple Keynote;
C. Microsoft Excel or Apple Numbers;
D. Microsoft Outlook or Microsoft Entourage.

4. Be subject to the following on an ongoing, random basis:
A. Pass drug screening, and
B. Verify documentation and credentials.

5. Be experienced in the larger school community;
6. Possess good communication skills;
7. Be aware of the community and its needs;
8. Have a valid, clean CA driver’s license and CA registered and licensed vehicle (or able to procure same), and a clean DMV record;
9. Be free of all associations with gangs, including appearance, dress, and demeanor;
10.Be able to pass a drug screen and a criminal history background check;
11.Speak, write, and communicate well in English (Spanish language skills are a plus);
12.Have reliable transportation;
13.Be efficient; and
14.Be dependable.

Physical Requirements
The job requires the ability to:

1. Stand and walk for periods up to four hours;
2. Bend and lift, including medium loads (40 lb.);
3. Open/close doors and windows, push gates, and open/close locks; and
4. Manipulate office tools, equipment, and other utensils as required.

Supervision Protocols
While performing the duties of Administration Specialist III, the employee is:

1. Subject to the bylaws, rules, regulations, policies, procedures, and guidelines of GAP;
2. Under the overall authority of and directly supervised by the GAP Executive Director and Operations Manager;
3. Expected to maintain the recommended supervision ratio of 1:8 or less for juveniles; that is one staff member for every eight or fewer juveniles with at least two staff members present at all times. (For the protection of both the juveniles and the staff members, no staff member should permit themselves to be alone with any minor or group of minors during GAP sponsored activities.); and

4. Expected to maintain the recommended direct supervision ratio of 1:15 or less for adults.

Orientation, Training, Certification, and Continued Education Provided
To prepare an employee for the position of Administration Specialist III, GAP will offer the following educational opportunities. It is the duty of the employee to attend these sessions.

1. GAP Employee Orientation;
2. GAP Departmental meetings;
3. Safety Training;
4. Sexual Harassment and Hostile Working Environment Training;
5. Workshops and seminars as directed by the GAP ED; and
6. GAP Employee Professional Development Program

Activity Locations
While performing the duties of Administration Specialist III, the employee is limited to the following locations, unless expressly authorized in writing by the GAP ED to hold activities in another location.

1. The GAP program service area (Boyle Heights, Carson, Compton,El Sereno, Gardena, Harbor City, Harbor Gateway, Lynwood, San Pedro, Watts, and Wilmington;
2. The GAP offices and warehouses;
3. Local, City, County, State, and National offices and buildings when assigned;
4. Conferences, seminars, conventions, trade shoes, public meetings, when assigned to represent the interests of GAP and;
5. All GAP sponsored activities and events.

Time Commitment and Compensation
The position of Administration Specialist III is a full-time, hourly, non-exempt position. Employee will work 40 hours a week. The employee is expected to complete duties on a daily basis. Work may be required on some weekends and evenings with advance notice.

After the successful completion of the introductory period, the Administration Specialist III is eligible for a full menu of GAP sponsored benefits as described in the current edition of the GAP Personnel
Policies and Procedures Manual. These include life insurance, health insurance packages, paid time off, 401(k) and other benefits as they are available.

Due to the type of funding received by GAP, no employment is offered based on availability of funds, and is reviewed prior to the end of the fiscal year. No guarantee of year to year employment is either expressed or implied by an offer to hire.

The salary range for Administration Specialist III is between $19.00-$21.00 per hour and is also listed in the current compensation guidelines and current employment offer.
