Typical Working Schedule
Monday thru Friday, 7am-3:30pm. Occasional work outside of these typical hours are required due to workload, meetings & events outside of the normal working day.

Position Summary
This position leads administrative functions for the Facilities Management Division including: customer service, supervision of staff, financial accounting coordination, and administrative support. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance division goals and objectives. This position supervises several positions and approves some unit expenditures.

Responsibilities
  • Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
  • May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees
  • Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors
  • Participate in on-call emergency communication for Facilities Management.


Knowledge Skills and Abilities
Required:
  • Associates degree or higher in an Administrative Professional or related program.
  • Experience with effective supervisory, problem solving and leadership techniques in an Administrative Services environment or related field.
  • Interpersonal skills necessary to interact effectively with the students, co-workers, university employees and the public.
  • Experience with customer service, including the ability to serve contacts from within and outside the University in a courteous and professional manner.
  • Communication skills sufficient to give detailed and complex, written and oral directions and explanations.
  • Organizational skills to manage multiple tasks and effectively organize work.
  • Knowledge of computer software applications including Microsoft Office (Work, Excel, and Outlook.)


Preferred:
  • Bachelor’s Degree or higher in an Administrative Professional or related program.
  • Two years minimum experience as a supervisor.
  • Experience working effectively and productively under general supervision. (i.e. given objectives, priorities, constraints and resources.)
  • Basic financial and accounting knowledge.
