Title: Administrative Attaché

The Québec Government Office in Los Angeles and the Québec Trade office in Silicon Valley are responsible for developing and promoting economic relations between Québec and the Western USA region (California, Nevada, New Mexico, Arizona, Utah, Washington, Oregon, Idaho, Alaska, Hawaii, Colorado, Montana, and Wyoming). Their mandate is to promote Quebec’s expertise and interests; to develop a large network of contacts; and to facilitate business opportunities for Québec companies.

Role description:

Under the supervision of the Delegate General of Québec in Los Angeles, the Administrative Attaché coordinates all activities related to the management of financial, material and computer resources, buildings, technical services and security. S/He

  • Ensures compliance with essential ministry rules governing management of financial resources
  • Assists with budget control and planning for both the Los Angeles and Silicon Valley offices; provides counsel to the Delegate General during this process
  • Manages the office finances, bank account, and submits reports on banking operations
  • Verifies and ensures payment of invoices
  • Verifies payment and reimbursement requests of employees
  • Implements adequate internal control over expenditures and verifies compliance
  • Submits required financial forms to headquarters
  • Evaluates human resources needs of the LA & SV offices
  • Oversees personnel filing system and ensures security of confidential documents
  • Prepares documents related to hiring of staff; sets up interviews; welcomes new employees
  • Ensures optimum management of Québec properties in LA and SV
  • Ensures the upkeep of the office spaces; consults headquarters when scheduling work related to office space maintenance/renovation
  • Takes stock of office furniture and supplies, updates inventories, and handles purchasing
  • Handles maintenance of computer and telephone systems, printers and copy machines
  • Enforces safety measures established by headquarters and local authorities
  • Regularly updates security guidelines distributed to all staff members

Requirements:

  • Bachelor’s degree
  • Professional proficiency in English and French
  • Five years minimum experience in administration
  • Knowledge of generally accepted accounting principles
  • Excellent written and verbal communication skills
  • Ability to adapt to changing assignments and to multi-task
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Diplomacy, tact, and good judgement
  • Strong interest in customer service

The successful candidate will be required to undergo security verification

Job Type: Full-time

Pay: From $95,870.00 per year
