Provide confidential office support services to the Dean of Admission Services and assists with the day to day operations and activities of the Admissions and Records office.

  • Perform confidential daily administrative support services to the Dean of Admission Services including but not limited to scheduling appointments, meetings and recording minutes; assembling documentation for meetings and report preparation; create and maintain departmental files and records.


  • Provide support services to the Associate Dean of Enrollment, Admissions Representatives, the Coordinator for Student Communication & Initiatives, Community Outreach Coordinator and Director of Enrollment Services. This includes but not limited to: entering contact cards, assisting with ambassadors and campus tours, compiling high school lists, mailing labels and visit posters.


  • Greet visitors and provide general information to students.


  • Organize, order and maintain print materials and promotional items.


  • Assist with the day-to-day processes and general duties and responsibilities within the Admissions and Records Office. This includes but not limited to: processing intent to enroll forms, credit and non-credit registration, the production of transcripts, answer and refer calls from multi-line digital phone systems and other duties as assigned.


  • Provide registration assistance at off-campus registration, extended registration and special events sponsored by the college.


  • Maintain accurate records of departmental expenditures, order/inventory supplies, process requisitions and monthly credit card statements.


  • Process incoming mail for the Office of Admissions and Records


  • Maintain special admission program acceptance in the Student Record System.


  • Monitor student address changes and process voter's registration for students.


  • Update student records for legal and chosen name and gender marker.


  • Complete verification of student qualifications for insurance forms (good student discounts), verification of enrollment, completion of unemployment forms and certification of TAA forms.


  • Assist students with Career Agreement forms in the absence of the Director of Enrollment Services.


  • Assist with preparation for the Commencement ceremony.


  • Assist with preparation for Laker Visit Days, Principals, Deans, and Counselors meeting, Career Day, Graduation and other events organized by the college.


  • Collect and organize planned absence forms for the Admission and Records Office.


  • Prepare and update documents, databases, reports, correspondence, photocopies, files and other paperwork and records for the department.

Specific Functional Job Requirements

Education:
Associate Degree required.

Experience:
Experience in an office setting, related experience in college setting preferred.

Knowledge:
Principles of organization, management and administration of office procedures and practices.

Skills
Excellent interpersonal, oral and written communication, and organizational skills; ability to maintain confidentiality, Microsoft Office and general office skills as determined through testing.

Personal:
Detail-oriented, self-starter who enjoys relating to a diverse population of students, staff and public in a fast-paced work environment with multiple interruptions. Physical:
Ability to access computer screens and electronic student records in software packages currently used by the college; ability to input data; ability to lift and transport 25 pounds. Ability to travel or work evenings as needed.

Machines and equipment used:
College mainframe software, PC Client Server environment, Windows platforms, Microsoft Office XP and office skills as determined through testing, Outlook, Internet Explorer, presentation equipment/software, facsimile machine, multi-line digital phone system, form feed/flatbed scanner, microfilm reader/printer, copy machine and related educational software.
