Position Summary:

We are seeking an Administrative Assistant to work at our federal customer site in Lakewood, CO, and to join our collaborative, innovative, customer-centric culture.

Primary Responsibilities Include:

This position will provide administrative support to executive staff with office management responsibilities to include budgeting, personnel records, and payroll. The Administrative Assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.

Listed below are duties specific to the office:

  • Central point of contact to schedule appointments and relay work schedule status.
  • Assist in maintaining distribution listings, organization charts and ensure lists/charts are updated regularly in electronic form.
  • Prepare printing requests or reports as requested.
  • Document and maintain standard operating procedures for repeatable work efforts.
  • Prepare and present recommendations regarding efficiency, effectiveness, and streamlining of current administrative processes/procedures as related to supporting tasks.
  • Coordinate and disseminate information and functional information in accordance with established section policies, procedures, and guidance.
  • Routinely interact with Senior Manager level administrative assistants throughout the agency, though lower-level interaction may be required.
  • Update, maintain, and monitor the electronic tracking system for suspense items, projects, and/or activities regarding due dates and responses received. Prepare and email suspense date reminder notifications as required/requested on behalf of the office.
  • Update, maintain, and monitor pertinent documents in the SharePoint system.
  • Update, maintain, and monitor office intranet web site(s), MS Teams, shared drive, and other electronic locations as requested.
  • Assist with assembly information from personnel for reporting weekly work plans in the Administrators reports.
  • Proofread documents for grammatical errors and formatting.
  • Logistical planning for various activities including arranging IT support, conference rooms, teleconferences, WebEx, room setups, etc.
  • Attend meetings related to office/department projects and activities to take minutes, decisions, and action items.
  • Provide backup support for other orgs within the office.
  • Other administrative and clerical support duties as assigned.

Your Education & Experience:

  • An Associate of Arts degree with coursework in Business or Management.
  • 6 or more years of recent and relevant experience.
  • Advanced skill level in Microsoft Office Suite.
  • Exceptional organizational and interpersonal skills.
  • Ability work well with others.
