Position Title: Administrative Assistant – Gas & Fuel

Location: Minot, ND

Position Summary: The Administrative Assistant is responsible or processing inventory, customer orders and purchases, inputting fuel and freight prices, answering and transferring phones and all other administrative tasks for day to day operations in the Marketing Department.

Key Responsibilities:

  • Provide excellent customer service to internal and external customers
  • Process and coordinate customer orders received directly or from Dispatchers by inputting fuel and freight prices onto customer tickets, calculating margins and inputting the data into computer system
  • Retrieve pricing information from computer software system (AXXIS) for industry standards. Update system when changes are received via email
  • Assist with customer relations regarding pricing, billing or orders
  • Input customer information from Bill of Ladings into the system, compare data to order for accuracy and communicate with Administrative Supervisor to update inaccuracies as needed.
  • Process rail car supply inventory by tracking rail car arrival, creating purchase orders and pricing product.
  • Process customer purchases from rail car inventory by submitting order information into the system received from Dispatch or direct customer loads.
  • Calculate rail car shrinkage (gain or loss) calculations reported to Tax Specialist
  • Process portal tank and bulk plant inventories by calculating cost plus freight to determine cost of inventory, complete a purchase ticket and submit to Order Entry department.
  • Coordinate and assist to resolve any invoice pricing errors with the Administrative Supervisor and/or Accounts Payable department.
  • Employee must demonstrate safe work and risk management practices. Communicate and enforce all safety and security issues. Report and process all employee and/or customer incidents or unsafe acts in accordance with Parkland’s policy and procedure.
  • Ensure that confidentiality of data collected and stored are maintained.
  • Employee is expected to set priorities and meet deadlines. Employee is responsible for planning and carrying out assignments, resolving conflicts that arise, informing and coordinating with others as expected. Employee is accountable for ensuring the technical accuracy of their work and maintaining good working relations, both internal and external to Parkland. Self-direction and motivation are also expected.
  • Must meet performance expectations and complete all duties as assigned

Qualifications and Skills:

  • High School diploma or GED.
  • Minimum 3years’ experience in related field
  • Must possess strong analytical skills and accurate data entry skills
  • Excellent customer service skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office applications
  • Proficient verbal and written communication skills
  • Proficient problem solving and analytical skills
  • Attention to detail and high level of accuracy
  • Ability to work independently
