Seeking a motivated Administrative Assistant/Front Desk Meceptionist to join our Springfield, NJ practice

We are looking for a front desk receptionist that can answer, direct, and manage all phone calls and patient inquiries, schedule patients and provide general information about the clinical trials we conduct. Candidate will also maintain and manage various spreadsheets, send out reports and scan charts. The ideal candidate should have experience with managing phone calls, and medical office management as well as expert proficiency in Microsoft Office.

We are a private, multiple disciplinary team of practitioners focused on the diagnosis and assessment of patients with neurodegenerative disorders, Alzheimer’s disease, memory loss, and movement disorders located in Springfield, NJ. We focus on active research for pharmaceutical sponsored clinical trials.

Responsibilities:

  • Attend to patients on the phone and in person
  • Schedule patient appointment and make appointment reminder calls
  • Greet and register patients based on established protocols
  • Answer incoming calls and respond to information requests
  • Maintain a call log
  • Request, manage and maintain patient records
  • Design, maintain and manage spreadsheets on a regular basis
  • Generate reports on collected data
  • Send out confidential reports and scan charts
  • Organize and send out mail campaigns as directed by staff
  • Maintain and order all supplies
  • Ensure reception and all office space is well maintained and organized
  • Safeguard patient privacy and confidentiality
  • Complete other duties and special projects as assigned
  • Problem solve and technical capabilites

Job Requirements and Qualifications:

  • 3-5 years of experience in similar role and medical practice experience
  • College degree a plus
  • Must have excellent computer skills and proficiency in Microsoft Office
  • Great interpersonal skills
  • Knowledge of general administrative and clerical procedures
  • Highly organized and with great attention to detail
  • Able to collect, organize and monitor data efficiently
  • Able to maintain confidentiality
  • Able to multi-task, prioritize and complete projects in a timely manner
  • Ability to develop good patient relationships and to change approach to meet changing situations including dealing with diverse patient populations
  • Reliable commute to Springfield, NJ or able relocate

This is a full-time, in-person position, Monday – Friday 8:30 – 4:30 in our Springfield office

Pay: From $20.00 per hour
