Position: Administration Assistant

Non -Exempt Classification

Wage $17+DOE

Reports to: Executive Director

ROLE & RESPONSIBILITIES SUMMARY:

Under general guidance of the Executive Director, the Administration Assistant upholds day-to-day administrative, clerical, and public relations activities to ensure the Totem office runs smoothly. The position supports the Executive Director and staff. The Administrative assistant will coordinate activities, uphold record management, and set systems to maintain continuity.

ESSENTIAL FUNCTIONS:

  • Responsible for upholding day-to-day administrative and clerical tasks of the office
  • Inspire a positive, productive, and pleasant office environment
  • Coordinates meetings, answers phones / email, attends to customers
  • Compiles information, creates reports, formats/types a variety of executive, sensitive, and official/legal letters and documents
  • Coordinates administrative activities which require frequent contact with executives, the public, other agencies, and officials; may attend meetings to relay and collect information
  • Coordinates and makes travel and provision arrangements as needed
  • Records financial transactions, processes financial transactions, and receives contracts
  • Assists the ED in document maintenance
  • Performs office work including documentation filing; keeps updated, accessible files
  • Performs extensive computer work such as Microsoft Suite, Teams, Zoom, word processing, data entry, spreadsheets
  • Represents TVSFA in a professional manner, including community events, sponsor/donor relations and others
  • Other duties and responsibilities as assigned.

REPORTS TO: The Administrative Assistant will report to the Executive Director.

KNOWLEDGE, SKILLS, ABILITIES:

  • Strong organizational ability – Must possess excellent organizational skills
  • Problem solving skills –Ability to offer creative solutions or ideas

  • Teamwork skills – Willing and able to cooperate with team members to support team successes
  • Strong knowledge of computer and software including but not limited to Microsoft Suite, Zoom
  • Data entry knowledge required; Cash Handling and Processing ability required; Basic Bookkeeping background a plus
  • Communication skills – Reads, writes, and speaks English understandably

SUPERVISORY RESPONSIBILITIES: Support and direction to multiple volunteers

WORK ENVIRONMENT: Variable work environment in an office setting

POSITION TYPE AND EXPECTED HOURS:

Part Time to Full time during office hours, Weekdays

TRAVEL: Local area travel to businesses may be required on occasion

REQUIRED EDUCATION AND EXPERIENCE: Two years experience, or combination of schooling and experience required

PREFERRED EDUCATION AND EXPERIENCE: Associates Degree preferred; Bookkeeping experience preferred
