Job Location: Pottstown, PA

This employee performs complex clerical work which requires the utilization of office management skills, typing skills and the application of independent judgment while functioning as the clerical support person for distinct units (Intake Investigation and Ongoing Services) as well as mobile staff of the Montgomery County Office of Children & Youth.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Screening, processing, and distribution of walk-ins and phone contacts; taking and relaying messages for staff when they are unavailable;
  • Typing and word processing of agency case investigation reports, court documents, and agency correspondence, including forms and case related documents;
  • Proofreading of completed work product to insure that information is grammatically correct, complete, consistent, and accurate;
  • Completion of case dictation notes, case record documentation and documentation of agency services via the Automated Child Welfare Information System;
  • Faxing, copying, and general office support responsibilities;
  • Follows office clerical policies, procedures and formats adhering to agency requirements, rules and regulations;
  • Office management responsibilities including opening and closing the office, tracking and determining supply needs, requesting and maintaining office materials including forms, paper, supplies, etc.;
  • Mail distribution in timely most efficient manner;
  • Completes other tasks of moderate complexity as assigned utilizing independent judgment and work prioritization skills.

QUALIFICATION REQUIREMENTS

QUALIFICATION REQUIREMENTS:
REQUIRED KNOWLEDGE, SKILLS & ABILITIES:
  • Knowledge of office equipment operation, including switchboard, facsimile, personal computer;
  • Knowledge of basic Business English, grammar, punctuation and vocabulary and ability to apply in professional office context;
  • Professional in-person and phone demeanor and information gathering skills, in communication with general public;
  • Ability to exercise independent judgment, and to work with a minimum of direct supervision;
  • Ability to effectively interface with the general public and professionals in a business setting, including emotional individuals, or those with special limitations;
  • Knowledge of contemporary office practices and procedures;
  • Ability to work in fact paced environment, and to prioritize workload to meet emergent deadlines. ELIGIBILITY ALL CANDIDATES:
    MINIMUM EXPERIENCE AND TRAINING:
  • Six months as an Office Support Person 3, and educational development to the level of completion of high school; or One year of keyboarding experience and completion of high school; or Six months of keyboarding and completion of a post high school business curriculum; or Any equivalent combination of experience and/or training;
  • This position is subject to mandates requiring Child Abuse, Criminal History and FBI Clearances for employment;
  • Pennsylvania residency is a requirement of the position;
  • Promotions are based on meritorious service and seniority. Meritorious service is defined as the absence of any discipline during the 12 months preceding the closing date of this posting, and the last regular or introductory evaluation is higher than fair. Seniority is defined as a minimum of 6 months of service in the next lower class as of the closing date of the posting.

  • Promotion is not subject to provisions of a collective bargaining agreement.

MUST TAKE AND PASS CLERICAL TESTS FOR THIS POSITION. TYPING TEST SCORE MUST BE A MINIMUM OF 30 WPM AND THE DATA ENTRY SCORE MUST BE A MINIMUM OF 6000 KPH.
