Position Description
Depaul USA is looking for an Administrative Assistant to join our small team and provide a variety of administrative duties to assist our staff to complete projects efficiently and within budget. The position will include some communications and coordination as well admin duties including, but not limited to, managing grant funding, petty cash tracking, working with executive financial team to complete necessary tasks in a timely manner, and conduct preliminary audits of client files.

Program Overview
Depaul USA New Orleans currently operates two housing programs with an expansion to three programs in 2023. Each program follows the Housing First model, which provides housing to individuals regardless of any treated or untreated substance use or mental health issues, or any other barriers. We believe that the basic need of housing is substantial and necessary for a person to survive and serves as a platform for improving one?s quality of life. As of March of 2022, we implemented a group wellness program that has rapidly grown to be a resource for our housing work.

Essential Job Functions
The Administrative Assistant will assist the New Orleans Director with administrative tasks including recordkeeping of financials, human resources and updating client databases. Specific tasks include:
  • Use computer word processing, spreadsheet, and database software to prepare
reports, and documents
  • Collect and report timesheets to HR and Finance Directors
  • Record rental and savings payments from clients, deposit monies in bank
accounts
  • Submit monthly rent requests for housing programs
  • Manage petty cash and develop and keep up to date a spending ledger and
tracking system
  • Create a monthly participant rental payment tracking system
  • Record and track in-kind donations and send a monthly report to Finance
Director
  • Purchase, receive and store the office supplies ensuring that basic supplies are
always available
  • Update and ensure the accuracy of the organization's databases
  • Back-up electronic files using proper procedures
  • Provide secretarial and administrative support to management and other staff
  • Organize client files
  • Assist with tracking grant spending
  • Coordinate the maintenance of office equipment
  • Code and file financial material according to established records management
procedures
  • Assist with financial reports as required
  • Participate in Fundraising Event committees
  • Mail and track sponsorships for fundraisers
  • Send donation acknowledgement letters
  • Assist with communications if needed (i.e. newsletter)
  • Assist with interviewing clients for write ups if needed
Required Qualifications and Credentials
  • High school diploma or equivalent certification; post-secondary education in
business, computers, or office management is preferred
  • Exceptional interpersonal communication skills; and
  • Basic computer skills, including email, Windows, and Microsoft Office programs.

Schedule
  • In agreement with supervisor, anytime between 9AM-5PM Monday to Friday.
