About The Position:
The administrative assistant in Scottsdale's Office of Communication and Citizen Service (OCCS) supports the department director and staff, performing a broad range of administrative functions and assignments. The department connects Scottsdale residents to their city government through communication, outreach and public programs, and connects city employees through employee communication, recognition and events. The administrative assistant is a core position to help make those efforts successful, providing budget and financial coordination; support for the department's two citizen commissions; support for events and programs including diversity and inclusion, employee recognition and public outreach. The OCCS administrative assistant is also the friendly face at the front desk of the Community Design Studio while helping coordinate the building's busy schedule. PLEASE NOTE: Years of experience are based on a work schedule of 2,080 hours per year for full-time positions and 1,040 hours per year for part-time positions, and while work experience may substitute for education on a year-for-year basis, depending upon the job classification, education may not be substituted for work experience.


MINIMUM QUALIFICATIONS:



Education and Experience

  • High School diploma or General Educational Development (GED) equivalent is required.
  • Three years of experience in administrative support.

Licensing, Certifications and Other Requirements

  • Every person employed by the City of Scottsdale shall reside in the State of Arizona during his or her active employment by the City, regardless of whether the employee is approved to remote work.



ESSENTIAL FUNCTIONS:


Performs duties and responsibilities commensurate with assigned functional area which may include, but are not limited to, any combination of the following:
  • Operates a computer and utilizes relevant software applications.
  • Provides Board & Commission administration support including managing agendas, postings, documentation, reports, etc.
  • May serve or assist as a division/department budget liaison, coordinates department budget preparation, and/or collect data. May administer and monitor budget for related cost centers. May monitor expenditures and advise managers of potential budget problems.
  • Greets visitors, screens and responds to incoming mail, e-mails, telephone calls, and voice mails for Executive Director, Administrator and/or Director.
  • Schedules conference rooms and arranges for press conferences and special management meetings.
  • Coordinates meetings, appointments and speaking engagements for the Executive Director, Administrator and/or Director.
  • Maintains electronic/engagement calendars and files for executive level management.
