Primary Responsibilities

The primary duties of the Administrative Assistant will be:

  • Self-motivation and professionalism are key for this position along with the ability to thrive in a team atmosphere
  • Excellent communicator, friendly, engaging, possess good judgment, including common sense, be able to think on your feet, be able to prioritize multiple tasks and meet deadlines in a fast-paced environment
  • Provide administrative support for staff in designated work location
  • Proficiency with MS Office, particularly Word, Excel, PowerPoint, and Outlook
  • Experience with SharePoint and Adobe Acrobat Pro a plus
  • Written communication skills including grammar, punctuation, proofreading, and spelling
  • Proficiency in managing multiple manager schedules and manager email assistance when required
  • Reception duties to include answering and directing telephone calls, delivering messages and incoming mail and packages, greeting employees/clients and visitors
  • Open and close office building daily
  • Scheduling of conference calls and conference room booking
  • AV Knowledge desirable (for conference room set-up)
  • Assist with meeting set-up (to include catering if necessary)
  • Ordering office supplies & kitchen supplies
  • Assist with large mailings when required
  • New hire desk set-up (coordinated effort with IT)
  • Keep office in a neat and orderly fashion and keep conference rooms and copy areas stocked/clean
  • Assist with travel arrangements when required
  • Assist when needed with expense report submission
  • Ability to drive consistent policies and practices across the admin team in WA
  • Provide project support as needed
  • Coordinate efforts with HDR Bellevue office to maintain vehicles:Maintenance (repairs, oil changes, detailing)

Organize collision instances with Omaha
Licensing for all cars/Emission

  • Develop and maintain a good working relationship with building property management company
  • Maintain vended services agreements
  • Frequent communication with supervisor to maintain consistent processes and procedures
  • Must be able to lift 20 pounds
  • All other duties as assigned

Qualifications

Required Qualifications

  • High School diploma or equivalent
  • Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • Self-motivated, well-organized and detail-oriented
  • Ability to handle confidential information
  • Proficiency with MS Office including Word and Outlook
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
  • 5+ years’ experience in an admin assistant/receptionist capacity supporting an energetic office and experience in any of the following fields are helpful: architectural, engineering, consulting, or construction services
  • Exceptional organizational skills are essential
  • Fully vaccinated for COVID-19. This position requires onsite client visits, or, this position will be co-located at the client site. The client requires all contractors/consultants/vendors who work or visit the site be fully vaccinated for COVID-19.

The expected compensation range for this position is $37,412.00 - $53,445.00 annually/hourly depending upon skills, experience, education and geographical location.
