The University of Alabama at Birmingham (UAB) seeks an Admin Associate. Under minimal supervision, to provide essential administrative and business support services within a school, department or unit which may include budget maintenance, personnel processing, policy communication, facilities/space management, database/files management, office/clinic management or patient flow management.



Key Duties, Primary Responsibilities:

  • Coordinate programmatic activities functions
  • Conduct special projects relating to an office's administrative operations at the direction of the superior
  • Maintain vendor relationships
  • Interface with internal and external constituencies
  • May provide confidential secretarial/office support functions for department chairs, large division directors, deans or other organization executives
  • Typically supervises clerical/secretarial staff
  • May assist in preparation and submission of grants
  • May be responsible for equipment/furniture repair
  • May assist with grants and contracts administration
  • May prepare financial reports and analyses

Knowledge, Skills, Abilities, and Worker Characteristics:



  • Intermediate or better proficiency in Microsoft Office Suite, including Outlook, Teams, and Excel
  • Ability to use a variety of scheduling software (e.g., SignUp Genius, Doodle Poll)
  • Aptitude for learning new technology and software
  • Ability to manage high volume of tasks and to prioritize competing tasks
  • Excellent formal written and verbal communication skills
  • Excellent time-management and organizational skills
  • Strong facilitation, interpersonal, and presentation skills
  • Attention to details and excellent critical thinking skills
  • Ability to interact with others in a team environment or alone

Hourly Pay Range – $18.35 - $22.77

Qualifications
  • Bachelor's degree in a related field
  • One (1) year of related experience required
  • Or an equivalent combination of relevant education and/or experience

Preferred Qualifications:



  • Minimum of 2 years of experience as administrative assistant
  • UAB experience and knowledge of systems and processes
