The University of Virginia Darden School of Business, one of the world's leading business schools, seeks an Academic Operations Coordinator (AOC) to join its team. The AOC has direct responsibility for assisting a set of 9-15 faculty and administrative stakeholders in the coordination and management of degree program academic operations, logistics, administration and assessment. The AOC also plays a critical role supporting faculty in the delivery of academic content, exams, and associated programming and logistics.

This position reports to the Director of Academic Operations, but works most closely day to day with the faculty assigned to their desk, supporting these faculty in their efforts to prepare and deliver courses and assessments across MBA degree programs. The AOC ensures the tactical decisions and initiatives that impact their faculty and their faculty's courses are communicated clearly, organized, and implemented appropriately. An AOC plays a critical role in ensuring the delivery of world class support and top tier MBA programming.

Specific duties and responsibilities:

Faculty Administrative Support

  • Manages and submits faculty reimbursements for supplies and travel, as well as reimbursements for related guest speakers, case writers and seminar speakers.

  • Coordinates in-person and virtual course guest speaker logistics.

  • Coordinates in-person and virtual meetings and meeting space for faculty.

  • Supports course special events and projects by reserving space, managing catering and other necessary vendors where appropriate.

  • Coordinates hiring of classroom assistants

  • Orders gifts for visitors and office supplies for faculty.

  • Maintains faculty calendars.

  • Supports faculty with special projects.

Teaching Support

  • Coordinates and troubleshoots with all the faculty on their desk regarding course materials and assessment delivery, and bookstore logistics for textbook orders.

  • Acts as liaison between faculty and course materials management department to communicate and coordinate solutions to ensure all course materials are delivered on time to students.

  • Communicates and coordinates operational deadlines to faculty.

  • Builds and maintains courses on the Learning Management System (Canvas).

  • Ensures the technologies that are introduced into the degree programs are communicated to faculty.

  • Ensures faculty decisions related to content delivery and program assessment regimes are supported to implement smooth and consistent execution across the programs.

  • Ensures assignment and exam materials are created and available within communicated deadlines.

  • Support faculty with virtual teaching needs where requested.

  • Collects and check in exams, enters grades, audits grades where requested.

  • Supports faculty in the electronic grading processes as needed.

  • Organizes and returns exam/grade feedback to students where requested.

  • Enters final grades into the Registrar System.

Professional experience and education:

  • High school diploma required, Bachelor's degree strongly preferred.

  • 4 years of administrative/general office support experience required. Bachelor's degree may substitute for years of experience.

  • Higher Education experience, working with faculty and academic programs preferred.

  • Ability to work under tight deadlines and manage multiple priorities.

  • Excellent time management skills.

  • Excellent oral and written communication skills.

  • Ability to work both independently and also on a team.

  • Strong interpersonal relationship and teamwork skills.

  • Administration of programs (degree program experience preferred).

  • Knowledge of UVA offices and administrative processes strongly preferred.

  • Microsoft suite office programs (Word, PowerPoint, and Outlook with strong knowledge of Excel preferred).

  • Working knowledge of learning management systems (Canvas preferred).

  • Familiarity of tools for virtual meetings and teaching (Zoom preferred).
