We are seeking a Logistics Office Manager to provide hands-on support and guidance to the Accounting department. This position oversees card services, accounts payable, IFTA/fuel tax reporting, and loan processing.

This position will be in-person at our Langhorne, PA office.

Essential Job Duties

• Supervise the Accounting department to ensure adherence to quality standards, deadlines, and proper procedures
• Provide employees with guidance in handling complex problems
• Oversee the FedEx account billing
• Audit and file IFTA/Fuel Tax returns
• Review new and updated vendor setups
• Ensure invoices are accurate and uploaded into our ERP platform
• Conduct EFS money code audits; identify which of the issued codes have been used, which codes are open/unused - if open/unused, investigate and close the codes out if needed
• Initiate bank wires and ACH payments
• Upload check details into the fraud prevention system and take prompt action on discrepancies between checks issued vs checks deposited/cashed
• Issue stop payments
• Analyze daily cash flow reports
• Manage contactor referral bonus payments
• Calculate monthly fuel rebates
• Proactively monitor employee expense card balances and make necessary payments in advance of reaching credit limits
• Manage inventory and order check stock for payables, settlements, and EFS cards
• Setup recurring payments and supervise open payables
• Review and sign off on biweekly accounts payable check runs
• Provide customer service (onboarding and issue resolution) for card services
• Conduct various audits

Required Qualifications

• High school diploma or equivalent
• 3+ years of experience working in a professional office environment
• 1+ years of supervisory experience
• Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
• Detail oriented with top-notch organizational skills
• Demonstrated problem-solving, analytical, and quantitative skills
• Ability to read, speak, write, and understand English in a professional manner

Preferred Qualifications

• Bachelor's degree
• Knowledge of fuel taxes, EFS card services, and accounts payable
• Trucking industry experience
