The Client Service Specialist plays a key role in consistently delivering a memorable client experience. They are responsible for ensuring client needs are met in a pleasant, accurate, and timely manner. The position’s focus is on providing team member support as the direct contact for processing most client service requests. A high degree of direct communication with clients is required, therefore pleasant, clear and concise, verbal and written skills are a must. Superior customer service is paramount for new and existing clients via telephone, as well as personally in-office. The focus of the Client Service Specialist should be one of accommodation toward fellow team members in the firm and firm clients with high attention to detail, and special emphasis on personally exemplifying the long term organizational vision and objectives.

Job Functions:

  • Provide in-office staff support by filtering incoming phone calls and directing telephone communication during normal office hours (8:00am – 5pm).
  • Assist in preparation, presentation, and assembly of presentation documents for client meetings.
  • Prepare, deliver and process paperwork to open, close, transfer or update client accounts.
  • Handles all necessary account maintenance including, but not limited to: wires, journals, check requests and all corresponding documentation.
  • Meticulously follow established processes and SOP’s. Attention to detail and work product accuracy is a must.
  • Verifies that all requests to custodians are received and accurately completed.
  • Reconcile transferred assets by organizing and obtaining historical cost basis data.
  • Obtain account information and provide necessary correspondence for related professional service inquiries including, but not limited to attorneys, CPA’s and other COI’s.
  • Provide current/historical client account information using Portfolio Reporting System (Axys Advent; eMoney).
  • Provide support for web-based client account access and onboarding (Custodian & eMoney).
  • Previous functional experience with the eMoney program is highly desired.
  • Maintain client portal and check that account updates are reflected accurately to clients.
  • Handle client requests and concerns regarding statements, trade confirmations, and other related correspondence.
  • Maintain processes and procedures with meticulous documentation of client information in CRM Software (Junxure Cloud). Process and communicate completion of action items that result from client meetings.
  • Gather, input and maintain client/call information on client services group tracking spreadsheets.
  • Offer proactive assistance in organizing and streamlining work flow for advisors.
  • Candidate will be working primarily for 2 advisors; one in Orlando and one who is remote.
  • Provide administrative support for client appointment scheduling and re-scheduling and telephone coverage.
  • Provide assistance for special projects in all departments.
  • Assist with editing and writing articles for our newsletter and blog.
  • Maintain a pleasant, open, and helpful attitude in all team member interactions.
  • Maintain a consistently pleasant and upbeat attitude with all clients and vendors as a SWP “brand ambassador.”

Job Type: Full-time

Pay: $43,000.00 - $47,500.00 per year
