Expected Hours per Week: Tues-Sat; 8:00a-4:30p with the ability to flex hours to accommodate business needs.

Summary: The Volunteer & Donor Relations Assistant has the opportunity to connect with our generous volunteers and donors every day. Volunteers have helped us by serving more than 46,000 hours and helping us collect, sort, repack, and distribute nearly 10 million pounds of food! Donors have helped us in Feeding Us Forward to help cultivate and grow a healthy, hunger-free community. The Volunteer & Donor Relations Assistant will be the first person our volunteers, donors, and other members of the public see as they enter our Fresh Food Share Pantry site and will be responsible for providing exceptional customer service, assisting with donations, recruiting volunteers, maintaining volunteer databases, matching volunteers to opportunities, keeping volunteers informed, and keeping a clear line of communication open with all programs to ensure we can have the greatest impact in the fight against hunger.


ESSENTIAL FUNCTIONS

VOLUNTEER/DONOR SUPPORT (70%)

  • Provide onsite volunteer coordination, including but not limited to, general inquiry support, Volgistics support, schedule updates/changes, application processing and onboarding, welcome calls, hours collection and reconciliation, story collection, and feedback.
  • Record and maintain detailed records of volunteer information ensuring accurate profile information, assignments, skills, availability, service records, training, performance, and notes.
  • Effectively maintain timely responses to day-to-day communications and inquiries ensuring that volunteers are properly informed about the organization and volunteer opportunities.
  • Regularly monitor volunteer fulfillment at Food Share and work collaboratively with the Volunteer Coordinator to work through any staffing gaps.
  • Regularly communicate with volunteers to ensure the placement is a good fit and their experience is positive.
  • Actively participate in operations and volunteer department huddles to provide feedback and collaborative communication to ensure positive experiences for staff, volunteers, and donors.
  • Support volunteer and donor recognition, appreciation, experience, and retention initiatives in collaboration with the volunteer team and/or development team.
  • Accept all incoming donations following proper procedure to ensure the donations are properly coded, and inspected for food safety, creating donor receipts and/or cards as needed, and communicating large donations in alignment with organizational procedures.
  • Maintain snacks and drinks for volunteers and donors.
  • Provide building tours to volunteers and donors as backup to the Food Share team.

ADMINISTRATIVE SUPPORT (30%)

  • Serves as the first point of contact with the public in reception, in email, or in person through exceptional customer service with an emphasis on kindness and engagement when speaking to community members, clients, vendors, donors, and volunteers about the organization. This includes check-in, badge issuance, and check-out as applicable.
  • Answer, direct, and prepare messages from phone calls and field questions in person or by way of email from volunteers, donors, cross-departmental staff, clients, and all others as applicable.
  • Copies, sorts, files, and maintains office files either manually or electronically; implements an efficient system for other staff to access files and records including retention and destruction.
  • Conducts or assists with new hire onboarding and orientation including but not limited to IT checklists, training scheduling, and welcome gift.
  • Sorts incoming mail and delivers to appropriate department or individual, processes outgoing mail.
  • Onsite IT coordinator for users, management, and/or staff – ticket approval or denial, troubleshooting, liaison with IT vendors, and onsite inventory.
  • Operates and maintains office machines including copiers, scanners, phone and voicemail systems, computers and inventory, and other standard office equipment.
  • Maintains office supply inventory, first aid supply inventory, and programmatic inventory as assigned; orders new supplies as needed.
  • Manage office-related signage for the facility and the community board ensuring that postings are in alignment with organizational communications standards and are up to date (e.g., holiday closures, notices to clients, flyers, brochures, labor posters, information sheets, events, etc.) in collaboration with the communications team, Human Resources & Volunteer Director, employee experience committee, volunteer program, and the Operations Manager.
  • Manage reception and general office housekeeping and coordinate facility janitorial services.

Education and Experience: High School diploma or equivalent required.

Pre-employment screening requirements: Ability to pass a drug test and pass a WorkSTEPS job-specific test.

Language Skills and Ability: Ability to read, write, speak, and understand the English language at a professional level with preference of bi-lingual in Spanish.

Computer Skills: Must have working knowledge of databases, Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook), have ability to perform basic IT troubleshooting, and type at least 30 WPM. Familiarity with Human Resource Information Systems (HRIS) or Volunteer Management Software are preferred.

Supervisory Responsibilities: This position has no direct reports but is responsible for the coordination of all Food Share volunteers and must be able to collaborate effectively across locations with various department staff members.

Work Environment: This position works in a warehouse setting, with some outdoor exposure during the workday.

Specific vision abilities required by this job include close vision, peripheral vision, depth perception, color vision, distance vision, and ability to adjust focus.

Travel: Travel is limited, but, when necessary, it is primarily local during the business day.
