JOB TITLE: Veterinary Receptionist/Assistant
REPORTS TO: Clinic Veterinarian

Part-Time $14 hourly

The Humane Society of Warren County (HSWC) is a managed intake, lifesaving animal welfare organization located in Front Royal, VA, whose mission is to provide compassionate care to the abandoned, abused, neglected and homeless animals in Warren County, VA. HSWC also aims to place adoptable pets in loving homes and educate the public on the importance of vaccinations and population control.

The HSWC has an annual intake between 1000-1250 animals and has a robust volunteer/foster program. The HSWC’s veterinary clinic serves the needs of all shelter pets in care in addition to offering spay/neuter services and quarterly rabies and microchip clinics to the general public. The HSWC has proudly maintained no-kill status since 2012 and continues to develop new programs and services aimed at keeping animals in loving homes and out of the shelter system.

Position Summary:

The Humane Society of Warren County is proud to provide progressive and high-quality veterinary care to our shelter animals as well as high-quality, high-volume spay/neuter services to publicly owned animals. The receptionist/assistant is the face of the clinic for new clients and excellent customer service skills are a must. The right candidate should have some experience in general animal care and be able to assist the team with post-op surgery care, discharging patients and assist with cleaning instruments and the facility.

Essential Functions:

· Answering calls and scheduling appointments

· Exceptional written and verbal communication skills

· Facilitate communications to/from client as necessary and directed

· Greet clients as they come in to complete paperwork and scheduling

· Send reminder communications for upcoming appointments

· Deliver information and knowledge to clients as necessary and in keeping with clinic policies, procedures and standards of care

· Work under the direction of the veterinarian and technician to prepare surgery rooms with equipment and necessary supplies

· Cleaning and disinfecting of kennels, bedding, surgical equipment etc.

· Cleaning of facility to include: sweeping, mopping etc.

· Assist with cleaning instruments for packs and restocking all supplies

· Clean any pet spills in accordance with safety protocols

· Maintain strict confidentiality about client, patient, and donor information

· Perform any other duties assigned by the Veterinarian

  • Maintain filing system

Required Skills / Experience:

  • Valid Virginia Driver’s License required.
  • Must be able to safely and compassionately handle and work with all cats and dogs, including those with medical or behavioral challenges.
  • Must be a team player and self-starter with the ability to work in a fast-paced environment with minimal supervision.
  • Must be highly motivated, with strong communication skills and a professional manner.
  • Must have the ability to get along well with a variety of people, as well as demonstrate ability to handle sensitive and confidential situations and information.
  • Must possess high emotional intelligence.
  • Ability to learn clinic software to ensure billing and invoices are prepared accurately

Physical Requirements & Work Environment:

  • Ability to lift and transport items weighing up to 50 pounds
  • Ability to handle animals effectively and humanely
  • The ability to bend and squat
  • The ability to stand and sit for significant periods of time
  • Exposure to disinfectant solutions and zoonotic diseases
  • Subject to animal bites and scratches
  • Consistently exposed to animals and animal allergens under conditions with limited alternatives available

Experience:

  • Veterinary Reception/Assistant: 1 year (Required)

Education:

  • High School Diploma (Required)
  • Veterinary Assistant Certification: (Preferred)

Schedule:

  • Monday – Thursday
  • One Saturday per quarter for community vaccine clinics
  • 6-hour shifts
