Full Salary Range: Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range is $57,800 - $105,600/yr. The budgeted salary range that the University reasonably expects to pay for this position is $60,000 - $81,700/yr.

Brief Summary of Job Duties

Under the general direction of the Director of Access Services, the Unit Head is responsible for the operation of the Circulation & Course Reserves Unit including planning, organizing, and supervising the work of Circulation & Course Reserves. Hires, trains, supervises, and evaluates staff, and supports the supervision of more than 30 student assistants. Acts as a resource for Library and University compliance with copyright law in the context of the work of the unit. Oversees and maintains the operation of the Course Reserves system, Ares. Configures the Fulfillment portion of Alma, the integrated library system (ILS). Participates in LibSys, a committee charged to maintain the smooth operations of the ILS. Liaises with Library departments and units to facilitate effective operation of interdependent workflows. Responsible for operational oversight of the Services Desk.

Minimum Qualifications

  • Bachelor's Degree in related area or equivalent experience and/or training.
  • Two or more years of relevant management and supervisory experience.
  • Knowledge of integrated library systems, library software, and databases.
  • Ability to analyze and resolve complex problems, and recommend solutions.
  • Strong verbal and written communication skills.
  • Interpersonal skills including diplomacy and tact in working with a variety of people and situations.
  • Experience in a public service environment.
  • Collaborative spirit.
  • Ability to meet deadlines and balance priorities.

Preferred Qualifications

  • Management experience in an academic library setting.
  • Access Services and/or Circulation and Course Reserves experience.
  • Proficiency in using Alma.
  • Professional writing experience, including report writing, policy creation, and training documentation.
  • Proficiency in analyzing, organizing, and expressing data.
  • Experience with creating a unit or departmental budget.
  • Thorough understanding of copyright law as it applies to libraries.

Job Functions/Percentage of Time/Duties

  • 55% Alma & Ares Administration - Possesses Alma Administrator Certification. Oversees and maintains the Fulfillment portion of Alma, the library's integrated library system (ILS). Understands Alma's Fulfillment and User Management configuration options. Works with fulfillment, user management, calendar management, and terms of use policies. Collaborates with Library IT to resolve trouble tickets submitted by Library staff for issues pertaining to relevant ILS functionalities. Serves as one of the primary points of contact for vendor support, escalating Alma issues via the Ex Libris ticket creation system. Maintains general responsibility for inputting and updating of certain types of records into the ILS. Responsible for the creation of custom reports in Alma and scheduling these, as well as canned reports, in Analytics when necessary. Participates in LibSys, a Library committee charged with ensuring smooth operations of the ILS. Keeps current with ILS updates and shares this knowledge with the unit, department, and Library staff at large. Manages the functions of the Course Reserves software, Ares. Liaises with Library IT staff to make and request necessary changes and adjustments to the system.
  • 20% Unit Supervision - Directly supervises 7 FTE staff members, conducts competent and effective hiring, training, communication, coaching, performance management and appraisal, conflict management, and recognition. Approves timecards for all staff in the unit via Kronos Timekeeping. Maintains and implements unit overtime list in accordance with University and bargaining unit policies. Oversees scheduling of Services Desk Managers. Evaluates staff work performance and recommends appropriate personnel actions. Coordinates supervisor training, including responsibilities, policies, and procedures related to the unit, the Access Services Department, and UCSB Library. Oversees all Circulation and Course Reserves-related functions including the electronic reserves processing workflow. Acts as a library resource regarding copyright in the context of Course Reserves. Recommends changes in policies and procedures, staffing patterns, and programs to the Director. Writes and revises, or oversees revisions of, policies and procedures. Responds to high level patron questions and handles complaints in regard to unit policies and procedures. Responsible for the budgeting of equipment and personnel. Takes part in the annual Library call for Budget Proposals, submitting proposal for Circ/Reserves to the Director. Performs regular assessment of services performed by unit and uses results to shape services and inform workflows in unit. Compiles Circulation and Course Reserves statistics and narrative for the departmental Annual Report. Writes other unit reports as needed.
  • 20% Interdepartmental Administration - Serves as liaison to Mending, Serials, Interlibrary Loan (ILL), and other Library units whose functions interact with Circulation and Course Reserves operations, resolving problems and conflicts, and recommending needed revisions in interdepartmental policies and procedures. Works closely with the Unit Head of Stacks and Copy Services in developing and maintaining an efficient flow of returned Library material. Works closely with the Unit Head of ILL in developing and maintaining an efficient flow of received and returned ILL materials, resolving problems and establishing new procedures as appropriate. Works closely with the Building Operations Department to ensure collection security and to resolve building safety and facilities issues. Serves on and contributes to various Library and interdepartmental committees. Develops, coordinates, and conducts training on Course Reserves and ILS software for various units in the Library as needed.
  • 5% Other duties - Assists in the interviews of candidates for staff vacancies in the department. Prioritizes, coordinates, and manages special projects as they arise. Participates in professional development and department-related training and conferences. Serves on relevant committees and working groups. Keeps abreast of innovations and trends in Access Services, Circulation, and Reserves. Makes service recommendations to Director based on user needs, research, and assessment. Contributes to the Library's long-range and strategic planning.
