GENERAL OVERVIEW:

Coordinate the activities of Perioperative Services as it relates to operating room materials, equipment, preference card data and patient charges related to the use of the EPIC OPTime application. Assists in the maintenance of the EPIC application and databases, coordinates supply change processes, physician preference card maintenance, charge establishment and processing, tracking of surgical tissue use and analysis of materials usage data.

ESSENTIAL RESPONSIBILITIES:

  • Coordinates the surgical preference card system for AGH OR and performs preference card creation and maintenance. Monitors surgical case scheduling in EPIC and identifies upcoming surgeries without assigned preference cards. Takes appropriate action to either have an existing preference card assigned or new card created to address the need. Monitors surgical preference card usage, identifies cards requiring review and revision, notifies the clinician responsible for each card, monitors preference card maintenance efforts and keeps perioperative management informed of preference card status of each surgical service line. (20%)
  • Assists in the promotion and implementation of surgical standardization efforts and perioperative cost reduction efforts. (5%)
  • Assists in the monitoring of contract compliance and creates reports on supply usage and expense. Monitors and maintains the content of the item database for surgery in EPIC system, assists in having items added to the materials database and creation of patient charge structures for patient chargeable products. Assists in coordination of supply contract implementation and the addition/substitution of items in the system. (15%)
  • Reviews billing maintenance work queues in EPIC and assists in the timely resolution of held accounts. Performs patient charging and patient charge modification to assist charge posters. Assists in the training and orientation of new employees that will perform those functions. Assists in patient charge reconciliation process through verification of implantable used versus those billed for surgical patients. (20%)
  • Assists in the recruitment, monitoring and supervision of Perioperative Services personnel performing supply related and patient record related activities relative to supply usage and patient charge processing. (5%)
  • Performs analysis of surgical implant usage and provides supplement data on supplies used and the purchase order used for replenishment as requested by Patient Financial Services. (5%)
  • Coordinates the use and operation of the Mobile Aspects Tissue tracking system, maintains the item database, trains users in its operation and performs all reporting from the system. (10%)
  • Coordinates the trial and evaluations of supplies and equipment for all surgical areas. Acts as liaison between clinical staff, administration, Providers Supply Chain and vendors to assist in the departmental requisitioning efforts. (10%)
  • Manages the supply requisition processes for all operative areas and monitors order placement, status and content. (5%)
  • Assists perioperative management staff in the obtaining of capital equipment quotations and development of capital equipment budgets as required. (5%)

QUALIFICATIONS:

Minimum

  • 5 years experience in surgical supply procurement, surgical materials usage and inventory management
  • Demonstrated experience in automated requisitioning and automated supply systems
  • Demonstrated experience in surgical supplies and sourcing skills
  • Management experience with support staff

Preferred

  • Bachelor's degree
