As a Senior Payroll Representative, you will assist with Payroll processing for every Inova Health System team member from the generation of timecard file load to final Payroll close. To help achieve our mission, you will review and audit transaction activity and communicate effectively during Payroll cycle processing with all partners. Facilitating the production of manual checks while instructing Payroll department team members on Inova Payroll procedures and Enterprise Resource Planning Payroll software functions is of vital importance. Performing audits and reviews on all team member timecards and pay period adjustments is expected. Reviewing pay adjustments/transactions processed by Payroll Representatives 1 and 2 is required.

Job Responsibilities
  • Audits and validates team member wage data during Payroll cycle processing from timecard edits, front end adjustments, gross wage audits/reviews, earnings/deduction audits, to payment generation and close.
  • Stays current with all federal and state regulations. Processes all child support and garnishment orders/levies and audits with Payroll team members to ensure compliance and accuracy in deduction activity. Generates all post Payroll payment reports and transactions to ensure timely payment delivery and compliance with all parties.
  • Communicates with Human Resources (HR) Partners and leadership as to new hires, terminations, transfers, rate changes and benefits related setup issues or adjustments. Assists with Timekeeper training and keeps up to date on all Inova Health System policies/procedures to ensure accurate education and communication.
  • Generates and reviews prior pay period adjustments to ensure accuracy and compliance with Inova and Payroll pay practices/policies (i.e. Short Term Disability, retroactive pay calculations, labor adjustments, hours corrections and processing missed hours). Audits Inovapass timecards on a daily basis to identify discrepancies and reduce timekeeping errors.
  • Prints manual checks and prepares them for distribution. Performs Payroll close and submission of electronic files for distribution through ACH and live paychecks by partnering with Information Technology and BOA for validation/confirmation.
  • Ensures all hours conform to Inova timekeeping procedures and policies. Monitors and processes all errors identified through Front End Control reports on a bi-weekly basis.
  • Maintains compliance at all levels for FLSA, tax and income reporting. Escalates significant pay issues identified through research to supervisor when needed.
  • Audits manual uploads for bonus transactions, paid time off payout activity and miscellaneous HR adjustments relating to benefit deduction and pay corrections.


Additional Requirements

Education

High school diploma with seven – 10 years of payroll experience.

or

Associates Degree plus three – five years of payroll experience.

or

Bachelors Degree plus a working knowledge of payroll.

Experience

Three years of payroll experience. Healthcare environment preferred.

Skills

Strong technical skills. Proven business and payroll processing skills. Experience with reporting tools – HR/Payroll. Customer Service experience.

Must be knowledge regarding payroll practices.
