Senior Administrative Assistant

Salary grade: $17-$20 per hour


Purpose:
To provide administrative support to the President, Operations Director, and Sales and Marketing department

Reports to: Operations Director

Exemption Status: Non-Exempt

Job Summary

To provide administrative support to the President, Operations Director, and Sales and Marketing department, working together with any department necessary to fulfill the job requirements, duties and responsibilities laid out here.


Job Requirements

  • 3+ years administrative support experience.
  • Strong attention to detail.
  • Business conscientious with critical thinking.
  • Ability to handle sensitive information in a confidential manner.
  • Outstanding communication skills.
  • Excellent time management skills and ability to prioritize work.
  • Intermediate level Excel skills.
  • Proficient in MS Office (Must know Power Point)
  • Proficient writing and documentation skills.
  • Basic Project Management a plus.
  • Experience with Fleet Management a plus.
  • Experience with Commercial Property Insurance a plus.
  • Brand awareness a plus.

Duties and Responsibilities

  • Electronic and paper file maintenance – contracts, equipment, fleet, insurance, property, and vendor files.
  • Track and manage In House maintenance requests and External Vendors service requests.
  • Notify/coordinate changes to various departments.
  • Compose/document Standard Operating Procedures as directed.
  • Scribe notes for weekly, quarterly, and annual company meetings.
  • Communicate with vendors as directed.
  • Create basic Power Point presentations.
  • Create and organize basic company signage.
  • Track and manage store incident reports.
  • Supply and special project ordering as needed.
  • Update the company dashboard.
  • Assist company President as needed.
  • Assist with Insurance claims as needed.
  • Assist with Fleet & Equipment management as directed.
  • Assist with ad placement and promoting the Mini Mart brand as directed.
  • Assist and/or manage basic projects as directed.
