DESCRIPTION:

The Dane County Alliant Energy Center has 2 (two) full time positions available. The eligible list created from this posting may be used for future vacancies for the next six (6) months.

DEFINITION

Under direction of the Deputy Director AEC – Events & Guest Services, this classification is responsible delivering an exceptional experience to clients by securing and booking facility usage for events such as: meetings, seminars, trade or consumer shows, concerts, exhibits, fairs, livestock/cattle shows, horse fairs, and other related activities associated with a multi- purpose event venue. This work involves extensive public contact and sales activities.

EXAMPLES OF DUTIES

Perform activities relating to sales booking facility usage for such purposes as meetings, seminars, concerts, trade and consumer shows, exhibits, entertainment events, festivals, livestock or cattle shows, banquets, and other related activities associated with a multi-purpose event venue. Coordinate cooperative sales efforts and materials in association with the onsite food service vendor, Centerplate, and Destination Madison, as well as other business and community partners. Perform proactive sales prospecting which includes research, sales presentations, facility tours calls and correspondence. Maintain close contact with clients during their events to ensure their needs are met. Work in cooperation with Event & Guest Services Division staff to prepare price quotations, prepare agreements and negotiate terms of agreements with clients and to ensure overall client satisfaction. Reserve and confirm space usage.

EDUCATION, EXPERIENCE & SPECIAL REQUIREMENTS:

Any combination of education, training and experience equivalent to a Bachelor’s Degree in Business Administration, Marketing, Journalism (Public Relations) or related field.

Special Requirements:

Must have a valid driver’s license, or access to reliable personal transportation, or equivalent.
Incumbents are expected to attend meetings and assist with events outside the normal work schedule. Must be available to work evenings, weekends and holidays as necessary. In addition, incumbents will be required to attend occasional conferences and trade shows.

Physical and Environmental Work Requirements:

Professional office work environment. Work involves walking, sitting, standing, bending, stooping, twisting, turning, lifting, carrying, pushing, pulling, grasping, and reaching within normal ranges. Ability to lift and move a variety of work-related materials weighing up to 25 pounds (with/without assistance). Prolonged computer and phone use. Manual dexterity using fine and gross motor skills. Ability to speak and be heard by others. Ability to see and hear within normal ranges with or without corrective devices.

KNOWLEDGE, SKILLS & ABILITIES:

Thorough knowledge of marketing and sales theories, techniques, and practices. Working knowledge and ability to use booking applications and other associated software as they relate to contact management, related recordkeeping, reporting activities, and event coordination. Experience with Ungerboeck software is preferred. Ability to develop and present convincing, persuasive sales presentations and to close sales. Ability to listen to the needs of potential customers and develop recommendations, which address those needs. Ability to communicate effectively, both in writing and orally, including speaking before large and small groups and making sales development calls to new prospective customers. Ability to prepare finished letters, memorandums, and meaningful, accurate and concise reports. Ability to carry-out administrative details efficiently and independently. Ability to follow through on event planning and operations aspects of events. Ability to establish and maintain cooperative and effective working relationships with internal and external entities.
