Job Overview

The Sales Assistant role is to provide administrative support to the sales department, as well as assist the Director of Sales with prospecting, booking groups, coordination of the meeting space and serve as back up to the front desk. The sale assistant must be supportive of and willing to learn the practices and procedures of the sales office, which includes effective communication with staff, prospective leads, and guests.

Essential Job Functions
· Perform general office duties to support Sales & Marketing (filing, updating online spreadsheets, sending emails, typing, faxing, copying editing and creating marketing materials).
· At the Residence Inn by Marriott the Sales Assistant maintains and provides coordination for sales of our hotel and meeting space: including preparing, executing, organizing contracts, maintaining and sharing calendars, defining meeting room layout requirements, and ensuring that payments are processed.

· Assist with incoming and follow up phone calls regarding room blocks and meeting space coordination when necessary.
· Acts as point of contact, for meeting space coordination when groups are on property.

· Prepare and organize sales-related documents throughout the sales process (e.g. proposals, contracts, and/or event orders.).
· Promote awareness of brand image internally and externally by organizing and gathering materials and assembling information packages (brochures, promotional materials).
· Assist with monitoring, responding to, and providing organization of timeline for leads from Marriott systems, CVB and third party leads.
· Provide tours and answer guest questions about property facilities/services (hours of operation, rates and room types, packages, promotions, transportation, entertainment, restaurants, and special events).
· Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests in a timely manner.
· Coordinate with other Lamont hotels in the area.
· Responsible for initiating reservations for group attendees, preparing rooming lists, revising existing reservations, building group blocks, and be able to track group and corporate business.

· Monitor social media and provide necessary response to reviews (Facebook, Google, etc.)
· Assist at the front desk at needed.

Any other duties as assigned by the Director of Sales

Qualifications & Requirements
· High ethical standards, analytical ability, and excellent communicator—written & verbal
· Computer literate (MS Outlook, Excel, Google Sheets, Google Docs)
· Attention to detail and strong organizational skills with the ability to multitask
· Able to work in a fast-paced environment
· Provide excellent customer service
· Attend all trainings/meeting as required by management
· Some weekends (minimal) may be required based on business demands
· Outgoing personality and great people skills
· Highly motivated
· Strong work ethic
· Ability to work well in high pressure situations, including the ability to handle difficult guests with satisfactory results
· Effectively listening, understand, and clarifying concerns and issues raised by associates and guests
· Ability to work with, learn, and understand various data, including but not limited to financial data, as well as arithmetic functions
