Sales and Accounting Administrator


ESSENTIAL DUTIES & Responsibilities:


  • Assisting CSM and Sales Managers with BEO’s/Contracts
  • Assisting CSM and Sales Managers with Event Diagramming
  • Entering contact names and accounts into Delphi from leads
  • Responsible for entering actuals and guarantees into the Delphi System
  • Printing all sales bills for Convention Services, comparing against banquet checks, reviewing for accuracy, and sending to CSM for final review
  • Assisting CSM/Catering Managers in executing 1-day small meetings and inhouse events
  • Ensure banquet space setups are accurate before the start of events. Make sure banquet spaces are presentable before tours.
  • Assist with Group resumes for the CSM/Catering Manager, obtaining all information, and correctly reporting into the group resume for distribution
  • Assisting with trade show planning/Inhouse events and preparation as needed
  • Inquiring for additional information from leads for catering events
  • Obtaining guarantees for all groups and delivering to the kitchen and other departments as needed
  • Making Security Requests and collaborating as needed with outside vendors
  • Process and send invoices for all direct billed individual reservations
  • Apply all payments for all direct billed individual reservations
  • Assist the Front Office leadership with all tax exemption processes
  • Responsible for the logging and verifying of all cash and check transactions for direct bill accounts
  • Assist Front Office leadership with all chargeback processes
  • Transfer all cash and check transactions to be deposited at the bank
  • Assist with gathering and distributing all hotel invoices
