Title: Special Event Manager Level: 3254


CHARACTERISTICS OF THE CLASS:

Under general supervision manages special events for the Park District in order to provide activities that are well coordinated. Responsible for the marketing and reserving of multiple Special Use Facilities. Performs related duties as required.


EXAMPLES OF DUTIES:

Manages special events by coordinating logistics, negotiating with vendors, scheduling activities, outlines space needs, contact information, submitting requests for payment and ensuring the delivery of service and goods. Functions as liaison between the Park District and community groups, agencies and individuals. Coordinates the communication components and promotion of programs and projects.

Markets and reserves multiple Special Use Facilities. Assists with the coordination and implementation of the Chicago Park District permit process. Monitors events at Special Use Facilities and other permitted events. Reviews the event proposal applications for completeness and confirms calendar availability. Interacts with park patrons regarding event guidelines and processes. Coordinates resources with internal Park District Departments such as Facilities Services and Security. Coordinates the open houses to showcase venues. May directly supervise staff such as Seasonal Attendants.


MINIMUM QUALIFICATIONS:

Training and Experience:

Bachelor’s Degree in Communications, Public relations, Marketing, Event Management or related field supplemented by three to five (3 -5) years of related experience; or an equivalent combination of training and experience is required.

Knowledge, Skills and Abilities:

Knowledge of event management, marketing and public relations principles and practices. Good writing and communications skills. Knowledge of Microsoft Office software applications, particularly Access Database management. Ability to navigate the Internet web-based applications. Ability to work constructively with community groups, outside agencies and Park District staff. Management and organizational skills. Possess a current Driver’s License.
