Acts as senior advisor to optimize planning for grant submissions, monitoring and reporting of grant expenses. Ensures that strategic and tactical plans for ongoing research activities are developed and executed effectively and efficiently. Manages all grant funded administrative activities. Coordinates research planning, monitoring and reporting activities. Forecasts and monitors all financial and budgetary matters. Coordinates human resources planning and activities for non-faculty grant-funded personnel. Develops, implements and manages effective administrative policies and procedures. Manages departmental joint venture research agreements between MD Anderson and other institutions. Manages physical resources dedicated to grant funded activity, including space planning, inventory control and

KEY JOB FUNCTIONS
  • Responsible for the administration of the department's grants and management of the grants team
  • Ensures grant program coordinators and grant program manager receive the necessary training and resources to perform their duties as well as determine areas of improvement to encourage development
  • Determine best practices and assist in standardizing processes across the department and division.
  • Develop training and standard operating procedures for grant submissions and management
  • Coordinates all levels of leadership to track and report milestones and outcomes of the program inclusive, but not limited to, invoiceable fees and milestones related to project contracts.
  • Develops and reviews research budgets and contracts for accuracy and compliance with institutional/sponsor requirements in collaboration with faculty, study team, and collaborating departments/services
  • Collaborates with division and institutional colleagues, as needed and appropriate, on administrative management and maintenance of grants
  • Establishes workflow and works closely with scientific and administrative partners (grants, finance, regulatory and compliance, and other personnel) on development, timely submission, and follow-through of priority projects for the Division of Radiation Oncology, including budgets and contracts in alignment with the scopes of work while adhering to sponsor, institutional, and governmental guidelines
  • Ensures quarterly effort certification by the grants team
  • Compile metrics and create ad hoc reports on department's grants
  • Attends or coordinates programmatic research meetings and monitors project/program progression, deliverables, timelines, metrics, and sponsor deliverables, in conjunction with research and administrative teams, to present to divisional leadership
  • Supports faculty, as needed, to develop, compile, and submit summaries and progress reports to sponsors
  • Develops and manages prioritization process and metrics related to requests for support (budgeting, contracts, proposal, program implementation activities, etc.)
  • Cultivates relationships with internal and external stakeholders and partners
  • Collaborates across the institution to ensure program objectives and deliverables are met
  • Identifies and implements strategies to enhance program outcomes
  • Performs other duties, as assigned

Education
Required: Bachelor's degree.

Experience
Required: Five years related experience to include three years program management experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, three years of required experience.

Preferred:
  • Previous experience managing a team.
  • Direct experience with grants submissions, post award processes, and all systems associated with it.
  • Experience with recruitment, training and capacity building.
  • Identifying and implementing best practices and standardization across the division.
  • Experience with data analytics & reporting.
